Hours : 8hr Days (Hybrid: 2-3 days in office per week)

Summary:

  • Provides executive level administrative support to the Cancer System's Deputy Director of Clinical Services (DDCS), Chief Nursing Officer (CNO), and Chief Administrative Officer (CAO), who make up the Cancer System's Executive Team. The Executive Assistant proactively manages the Executive Team's calendars and schedules meetings at the local and system level. The Executive Assistant drafts correspondence, arranges travel including accommodations, processes mail, maintains filing system, submits the administration departmental budget reports, processes check requests and purchase orders for signature and distribution. The Executive Assistant develops presentation materials and works on special projects as assigned by the Executive Team. The Executive Assistant responds promptly to telephone calls and email messages from a broad constituency including patients, families, board members and health system leadership, routing calls to appropriate persons via written or verbal communication. The executive assistant, through the Executive Team, supports a variety of senior staff meetings and committees with agenda preparation and follow up. The Executive Assistant supports both in-office and virtual administrative operations as necessary, such as participating in and overseeing other office duties to include catering, maintenance requests, equipment contracts(coffee machine, water coolers, copiers etc.), supply ordering, and other similar activities as assigned. A key role of the executive assistant is to serve as a liaison for the Cancer System's Executive Team to the Cancer and Hospital executive teams across the Health System. Finally, the executive assistant support in the coordination, development, and maintenance of the Cancer Systems clinical pathways.

Responsibilities:

  • Develops strong working relationships with cancer and hospital leaders and office staff across Penn Medicine.

  • Ensures accuracy of calendars

  • Provides accurate and timely scheduling

  • strong follow up on action items, meets all deadlines

  • Establishes effective systems and deadline reminders. Adheres to confidentiality guidelines

  • Prepares accurate, grammatically correct correspondence.

  • Provides timely follow-up and creative support

  • Provides the highest level of customer service to all callers and visitors and monitors and maintains a professional environment

Education or Equivalent Experience:

  • Bachelor of Arts or Science (Required)

  • And 3+ years providing administrative support to management, preferably in a university or academic medicine environment
