University City Housing Company Building Maintenance and Customer Service Coordinator in Philadelphia, Pennsylvania

University City Housing (UCH) is a Philadelphia-based firm that buys, renovates, maintains, and manages real estate for long-term investment. Our current portfolio consists of over 4,000 residential units and 250,000 square feet of commercial space in the Greater Philadelphia region.

UCH is seeking a motivated, professional Building Maintenance and Customer Service Coordinator to work at our fast-paced property in Roxborough, Philadelphia.  We are looking for an individual who is organized, an excellent communicator, and skilled in diagnosing residential maintenance concerns.  Previous experience working with Maintenance or in Property Management is desirable.

What does a Building Maintenance and Customer Service Coordinator do? 

The Building Maintenance and Customer Service Coordinator supports our in-house maintenance team by providing administrative assistance and coordinating quick and quality service. Tasks include, but are not limited to, managing work orders, communicating with the maintenance teams, and following up with residents regarding maintenance work needed, handling purchasing of supplies and materials, and working with outside vendors. They manage the day-to-day upkeep for the properties including changing light bulbs or filters, cleaning spills, and managing grounds services. They are the point person for repair problems within our apartment homes.

Responsibilities include but are not limited to the following:

  • Assist the Maintenance Supervisor and Property Manager to provide first-rate service to our residents.

  • Maintain required records such as material usage, time, production, and other reports.

  • Maintain and organize emergency on-call response schedule and follow-up program.

  • Manage vendors and contracts in accordance with company procedures.  

  • Coordinate maintenance staff including cleaning services, electricians, plumbers, carpenters, painters, and HVAC technicians.

  • Coordinate vendor requests including extermination, roof repairs, appliance orders, and carpet cleaning and installation.

  • Manage submitted work orders and communicate with residents and internal departments to achieve timely and accurate completion.

  • Run work order reports and investigate aging open work orders on a regular basis.

  • Handle purchasing of cleaning supplies, equipment, and other maintenance items while adhering to budget requirements.

  • Support maintenance supervisor and technicians with administrative tasks as necessary.

  • Stay organized with robust preventive maintenance schedules and continuous work requests.

  • Handle documentation of water intrusion in accordance with company MMP policies and procedures.

  • Communicate clearly and often with contractors, residents, and the maintenance team.

  • Various administrative duties and reporting as assigned.

    Requirements:

  • Our ideal candidate will have 1-2 years of Property Management experience with interest in operations & maintenance.

  • Organized with a focus on problem-solving.

  • Skilled in conflict resolution.

  • Ability to multi-task, meet deadlines, and handle the pressures of a fast-paced environment.

  • Excellent verbal and written communication skills.

  • A stable, progressive work history.

  • Technically proficient in MS Outlook, Word, Excel, and other computer / software systems.

  • Entrata property management software experience a plus.

  • Valid driver’s license and reliable transportation.
