ASSISTANT PROJECT MANAGER

Elliott-Lewis is seeking an Assistant Project Manager to aide in operations of our large client site located in Center City Philadelphia. The Assistant Project Manager works with a variety of team members every day including Elliott-Lewis onsite staff, subcontractors, the Project Manager, corporate Elliott-Lewis, and the client. In this role, the Assistant Project Manager helps communicate updates, organize timelines of projects, and ensure details of operations are handled with care. This role has many similarities to Property Management, and we welcome candidates with backgrounds as a Facilities Manager, Property Manager, Property Operations, or Site Manager.

Responsibilities

· Communicate and work with teams:

o Liaison between the Project Manager and Lead Maintenance Mechanic.

o Responsible for creating weekly timesheets and submitting payroll to Project Manager for approval.

o Assists the Project Manager in establishingemergency response plans, safety and operational procedures and policies and maintains and updates all documentation in Standard Operating Procedure (SOP) binder.

· Coordinating with Contractors and Subcontractors:

o Escort and manage contractors and subcontractors when on site and provide progress reports and status at the end of each day.

o Oversees on-site subcontractors and their work, and report roadblocks or issues to the Project Manager.

o Performs quality control inspections on subcontractors and maintenance staff projects. Often collaborate with staff, Project Manager, and client to ensure success of projects.

· Tasks related to Computerized Maintenance Management System (called CMMS for short):

o Develops, implements, and utilizes CMMS to optimize departmental efficiency and effectiveness and serves as a first responder to emergency situations initiating immediate emergency operational procedures.

o Review CMMS to ensure that all work is being completed and information is captured. Report any work order issues to the Project Manager.

o Responsible for creating, dispatching, and reviewing daily building services request and work generated by management, and responsible for closing out all work orders and ensuring that all work orders and preventive maintenance are documented on the CMMS.

· Additional Responsibilities:

o Support Elliott-Lewis’s construction projects and provide assistance in developing and managing budgets.

o Identifies and recommends Capital Projects based on asset life cycles.

o Coordinates both new and existing training programs for Elliott-Lewis staff on their team.

o Develops and utilizes ongoing Quality Control Programs to support a continuous improvement process.

o Responsible for maintaining certifications and vital records.

o Other duties as assigned by Project Manager and Elliott-Lewis Management.

o Available to respond and assist maintenance staff and management for building emergencies.

Required Skills

  • Detail oriented with strong communication skills (written and verbal)

  • Minimum 5 years’ experience in either Facilities Maintenance, Property Management, Property Operations, or Site Management

  • Proficient skills in Microsoft Word, Microsoft Outlook, and Microsoft Excel

  • Enjoys learning new technology and computer programs

Preferred Skills

  • Previous experience with hands-on work as HVAC mechanic, electrician, carpentry, and/or plumbing greatly valued but not required to apply

  • Certifications or coursework in Project Management preferred

Physical Requirements

  • Consistently Required: Walking, standing, bending, or twisting

  • Frequently Required: Bending or twisting, kneeling, crouching, stooping, and crawling. Working with various chemicals

  • Occasionally Required: Working with arms raised over head. Max carries 75lbs. Push/pull 40-75lbs. Exposure to hot and cold temperatures. Working from or on ladders. Working at heights. Exposure to high sound levels. Operate motorized equipment.
