Job Summary The Center for Autism and Neurodiversity (CAN) Administrative Assistant will provide administrative and clerical support for the CAN program. This position will also assist with the tasks related to funding received by the Office of Vocational Rehabilitation (OVR). The CAN Administrative Assistant will be the first voice/face that a prospective student/family encounters. This position performs office duties in support of program efforts, including word processing, data entry, maintaining files, processing mail, and duplication, receiving, prioritizing, and responding to incoming correspondence, requests, reports and telephone, or email contacts. This position will coordinate admission events and information sessions. Top applicants will have proficient time-management skills and can multitask with interruptions in a fast-paced environment. Essential Functions Manage all correspondence related to prospective students and families. Communicate regularly with Office of Vocational Rehabilitation (OVR) and maintain accurate records of student's status. Be the liaison between CAN, OVR, and Drexel's Financial Aid office to ensure students' accounts are accurate and up to date. Create annual report for OVR. Establish and maintain files, logs, and other tracking systems for a variety of information, projects, and events; may update website or use social media. Maintain confidentiality of information. Reconcile expenses for CAN. Organize and maintain schedules, calendars, and appointments including meetings and events and the detailed arrangements associated with such including preparing or providing agendas, minutes, equipment, location, information packets, travel, and follow up action items. Answer and direct phone calls. Order office supplies. Submit work orders to the Facilities Department as needed. All CAN staff assist with the following: planning and convening on and off-campus activities such as the Autism at Work: University Series events, Faculty and Staff Education Series events and working employee breakfasts with the Steinbright Career Development Center (SCDC). Required Qualifications HS Diploma or GED or equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.) Minimum of 5 years of experience working in an office setting. Proficiency with various computer software applications, including PC, Microsoft Office Suite (Word, Excel, Outlook). Strong time-management, organization, and multi-tasking skills. Ability to learn new software or technical processes quickly. Ability to work independently in a fast-paced environment. Ability to exercise sound judgment and to maintain confidentiality. Demonstrated ability to work collaboratively with various individuals and groups. Cultural awareness and competency demonstrated by working with and/or understanding of individuals of diverse identities, such as socioeconomic level, sexual orientation, race, ethnicity, and veterans, including those with different levels of academic preparation, and varying abilities. Strong interpersonal, written, and oral communications skills. Preferred Qualifications Experience working with autistic or neurodivergent populations, specifically teen through young adulthood. Experience working with Banner, Hyperion, STARRez, and/or Slate. Location University City, Philadelphia PA Additional Information This position is classified as non-exempt, grade I. Compensation for this grade ranges from $19.69 - $29.54 per hour. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate's qualifications and experience, depa tment budget, and an internal equity review.
