We are currently seeking a Program Operations Support Specialist, Senior to join our Presidential Helicopters Program (PMA-274) team in Patuxent River, Maryland.

Functional Description: Applies analytic techniques in the evaluation of program/project objectives. Analyzes requirements, status, budget and schedules. Performs management, technical, or business case analyses. Collects, completes, organizes and interprets data relating to aircraft/weapon/project acquisition and product programs. Tracks program/project status and schedules. Applies government-instituted processes for documentation, change control management and data management.

Responsibilities for the Program Operations Support Specialist, Senior will include:

  • Provide operational support to PMA-274 Sustainment IPT including command staffing verification and data calls from PEO(A)

  • Manage personnel database in PMA SharePoint databases including uploading data into, IBONS, command staffing, seating charts and gains and losses to include Military PRD

  • Take and draft meeting minutes, draft and update charts, draft PowerPoint presentations and other documentation

  • Will be responsible for collecting inputs and drafting reports such as the Weekly Significant Activities Report (WSAR) and others as required

  • Upload documents and tag with proper metadata to ensure smooth site and usage

  • Run slides / TEAMS for leadership as needed, for trainings and team meetings

  • Participate in bi-weekly Ops/Analyst drumbeat

  • Support Sustainment team meeting (opposite weeks collect data for brief)

  • Provide Monthly status report to corporate office

  • Prepare official correspondence for the PM/PDPM signatures; assign tracking number. Ensure properly stored on SPO (SharePoint Online)

  • Support CIV Ops lead on any assigned taskers from PEO(A)

  • Brief preparations - assist leadership with collecting slides for key briefs, collate, ensure proper layout and security markings

  • Assist with Gov interview process - greet and ensure applicants receive questions within required time and provided a location to prepare

  • As needed, ensure leadership retain access to key locations such as the Pentagon, WHMO, Anacostia and HMX-1. Process required paperwork

  • Maintain leadership recall card; update and redistribute as needed

  • Ensure visiting guests for leadership have completed base and building access. Greet and escort. Ensure leadership have access when they visit NEOB, Pentagon, and industry trips

  • Check calendars of leadership daily to ensure coverage/prepped to receive visitors; meeting maker has proper invite list

  • Prepare meeting makers from PM/PDPM calendars as requested. Ensure proper invite list included, full description meeting as noted in Col's 5 Ps of a meeting (Purpose, participants, process, payoff and preparations) are listed. Add TEAMS link and ensure CR booked

  • Add calendar events to PMA-274 SPO homepage

  • Manage reservations for the Lincoln and Nixon conference rooms. In response to new SPO calendar reservation system, reply to requestors either approving, denying or offering alternate location

  • Maintain condition of CRs. Ensure dry erase boards in Lincoln and Nixon CR are maintained, cleaned when needed. Information captured as needed for leadership prior to removing

  • Help Manage team building events - promote and help host, ex. burger burns, holiday party, etc

  • As needed, provide back up support for Acquisition Lead (Civ) in support of WG level PMT weekly status reviews and monthly Joint Contract Status Review w/industry

  • Maintain access in Procurement Management Tool (PMT). Retain awareness for preparing reports

  • Assist Program Security Lead to develop and disseminate a monthly program security newsletter to the broader PMA team

  • Assist Program Security Lead with quarterly Security In-doc presentation, to include collating PowerPoint slide deck and running TEAMS meeting in conference room; record attendance to ensure all receive credit. Ensure new hires have meeting invite

    Desired Skills:

  • Experience and a working knowledge of NAVAIR operations and the acquisition processes

  • Exceptional grammar, writing, and administrative skills are required

  • DTS experience

  • Proficient with MS PowerPoint, Excel, Word

  • MS Project experience is a plus

    Required Experience: This position requires more than ten years of experience

    Required Education: This position requires a Master's Degree or allowable substitutions. Allowable substitutions include a Bachelor's Degree plus two years of additional work experience or an Associate's Degree and four years of additional work experience or six years of additional work experience.

    Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.

Required Skills

Bachelors with minimum 15 years experience or equivalent relevant work experience. Bachelors maybe substituted 2 for 1, in addition to the relevant work experience requirements.
