Personal Executive Assistant

Park City, UT (hybrid)

$90K+ DOE

A highly successful business executive is seeking an experienced Personal Executive Assistant to provide high level administrative and personal support to their family office. This is a very exciting role that will be tasked with various ad-hoc projects both personal and professional, with a startup company feel. This role will require someone that is flexible with years of experience as a Personal or Executive Assistant and excels in a role that is ever changing with adapting needs.

Responsibilities

  • Providing high-level administrative, project, and personal support to Executive

  • Managing complex calendars, setting up appointments/meetings, and navigating any scheduling conflicts

  • Researching viable office spaces and managing real estate transactions

  • Helping to set up and establish a working office environment

  • Providing written and verbal correspondence on the Executive’s behalf

  • Managing email inboxes, incoming calls, and other requests

  • Coordinating with vendors to set up appointments and ensure work is completed

  • Coordinating reservations and following up with invitees, vendors, etc.

  • Preparing domestic and international travel arrangements/itineraries (private airplane, car service, hotel, dining, entertainment, meetings, etc.)

  • Assisting in event planning

  • Ordering supplies and managing inventory

  • Managing invoices, financial statements, and payments

  • Coordinating Board Meetings and preparing all needed materials

  • Overseeing family foundations, philanthropic endeavors, and logistics

  • Managing personal finances and trusts

  • Managing electronic and hard copy files

  • Managing expense reports

  • Managing various personal and business projects

Qualifications

  • 5+ years of experience as a Personal or Executive Assistant to C-Level

  • Excellent tenure and track record

  • Experience managing complex international travel logistics

  • Prior experience in a family office setting a plus

  • Prior experience managing personal finances and trusts

  • Professional written and verbal communication

  • Ability to review and understand general financial statements (P&Ls, balance sheets, etc.)

  • Ability to manage multiple projects simultaneously

  • Ability to prioritize tasks and meet tight deadlines

  • Excellent organization and attention to detail

  • Ability to uphold strict confidentiality

  • Strong computer skills (Microsoft Office Suite)

  • Occasional availability outside of normal working hours

  • Ability to anticipate needs and foresee problems

  • Flexible to changing business priorities

  • Sound judgement

  • Self-starter that is able to work well both independently and in a team environment
