Christian Center of Park City Bilingual Front Office Admin Assistant in Park City, Utah

Bilingual Front Office Admin Assistant

Pay range : $18-$24/h

Park City, UT

Part-Time/Full Time, Hourly

Primary Responsibilities :

The   Bilingual Front Office Admin Assistant serves as a front-line customer service   and   hospitality contact for all customers, clients, donors, and volunteers of the Christian Center of Park City (CCPC). The Bilingual Office Coordinator will oversee general administrative staff functions and operational tasks while supporting CCPC’s executives, directors, and staff where needed.

Job Responsibilities:  

Front Office Customer Service

  • Stay up to date on all organization details that may apply to phone calls or in-person visitors.

  • Field all phone calls, voicemails, emails, and walk-in guests.

  • Direct and/or retrieve appropriate information to direct customers, volunteers, donors, clients, etc.

  • Assist with Basic Need Assistance intake in Spanish and forward case information to Basic Need Assistance Navigator.

  • Assist with program events including support with walk-in program registration, in-person drop-offs, such as Operation Hope toys, and any other program needs that arise.

    General Administration

  • Assist the Executive Director with personal schedule including podcast scheduling and communication needs.

  • Pick up/drop off incoming and outgoing mail - process incoming mail as   needed.  

  • Assist with administrative and office tasks as requested by staff such as creating documents and signs, making copies, and ordering supplies.

  • Management of offsite parking program

  • Maintain cleanliness of office area, conference rooms, and breakrooms

  • Restock breakrooms and shared spaces with general office supplies.

    HR Generalist

  • Manage all-staff email   communications , channeling through HR & Administration Manager or executive team’s request.

  • Assist with candidate screening, and interview scheduling and help coordinate the hiring process.

  • Welcome new staff members and lead introductions and tours of the facility.

  • Assist with orientation.

  • Assist with the coordination of celebratory CCPC staff internal events.

  • Lead r ecognition of staff and board members during birthdays, times of loss, thank you notes and congratulations   cards .

  • Primary Spanish translator for all CCPC employee communication and process and/or policy documents

  • Perform other administrative duties as needed, as directed by the Human Resources & Administration Manager or executive team.

  • Other duties as assigned by the Human Resources & Administration Manager.

    Finance

  • Process checks and cash donations, allocate as requested, and report income to the Chief Financial Officer.

  • Creating invoices and collecting payment for Podcast sponsors.

  • Process donor checks, and complete weekly deposit and Counseling payroll deposit.

  • Passionately live out the vision and values of the Christian Center through this role and cast that vision to your team, volunteers, and clients of the Center and the public  

  • Participate as appropriate in staff   meetings .

  • Able to maintain strict confidentiality in all matters.

  • Ability to work independently and collaboratively in a multi-task environment and maintain a positive attitude during change.

    Qualifications:

  • Excellent organizational and administrative skills, able to plan and manage multiple tasks and events with confidence.

  • Good computer skills, competent in Microsoft Office Suite

  • Strong relational, interpersonal, and telephone skills

  • Bilingual (Spanish/English as a second language)

    Reports to:   Human Resources and Administration Manager

    Pay range : $18-$24/h
