Job Summary:
Greets the public, clients, and visitors to the agency, operate a telephone system to answer incoming calls and direct callers to appropriate personnel, and provide clerical assistance, in person and virtually, by performing the duties below.
Schedule: Monday-Friday, minimum two evenings/week requirement and Saturday, based on agency needs. Traveling is required based on agency needs.
What You Will Do:
Provide administrative and clerical support to management, staff and clients, which may include in-person or virtual administrative tasks such as the following but not limited to: typing, record keeping maintenance (i.e. program, client charts), filing data collection, billing preparation, insurance verifications, report preparation, consumer contact log tracking and reporting, and data entry. Ability to define problems, collect data, establish facts, and draw valid conclusions.
Serve as a greeter and provides access to care support to program prescribers, managers, staff and clients for all virtual/in-person appointments.
Answer telephone and provides routine information. Assist clients (over the phone and in person) by communicating in a positive, friendly and professional manner.
Schedule appointments, conduct appointment confirmations/reminder calls to patients and enters appointment date and time into computerized scheduler and case conference organization.
Verify, review and update demographic and insurance information in the agency electronic health record.
Verify and monitor insurance benefits eligibility, authorizations, and update coverage in the agency Electronic Health Record.
Collects payment at the time of service and/or collects past balances from the client, virtually or in-person, through agency processes.
Perform weekly billing entries to ensure proper services are released for reimbursement.
Scan clientele documentation in electronic health record to secure accurate record keeping
Receive, stamp, sort, and route mail for the programs within the division
Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
Provide administrative support in weekly team meetings by reserving rooms, preparing agendas and taking meeting minutes.
Effectively present information and attend weekly and/or monthly in one-on-one and small group situations to the program teams, clients, and other employees of the organization
What We Need to See:
High School diploma (HSD) or General Education Degree (GED) and
Six months to 3 years of experience in administrative/billing/medical office experience
A valid Driver's license required and must be insurable by the agency's automobile insurance.
