Administration Activities.
General Activities:
Notice Preparation and Circulate ORA Dist. All (Tamil & English)
Preparation of staff invitation letter and visa covering letter.
Training Program coordination for operator and staff.
Documentation of Attendance Sheet, Feedback Form and Operator OJT.
Horticulture -Outer periphery and lawn maintenance
Shopfloor Visit, Canteen Visit, and Locker room visit to ensure the cleanliness.
Check and monitor Drinking can availability.
Hazardous Scrap disposal coordination
Preparation of work permit for temporary work.
Time office/MIS Activities :
ESSL Biometric Attendance updating on Daily Basis (Contract Labors UMS, Casagrande, SIS, Sunflower) and OE/OW/DET/TAT Employee ID Creation.
MIS Report preparation (OW/DET/TAT/ MS/SIS/Casagrand/Aiga/Step Pharmacy/EAFS)
OMS Absenteeism updating
Contract Labors Shift wise Absenteeism monitoring and Contract Salary Monthly Bill’s closing.
Ensure contract Labors compliance.
Manpower:
Housekeeping, Security, Gardening, OHS ,Pantry Maintaining.
Employees OE/OW/DET Gate Attendance Monitoring
Security intelligence service (Security Guard) Sunflower (Gardener) Step Pharmacy (OHS), Universal Manpower service (Manpower contract),to make sure the head count is rightly tallied asper the biometric attendance and Salary preparation.
Tracking Absenteeism category wise and reducing absenteeism through counselling.
Closing contract attendance & Bills
Ensured 100% manpower deployed department wise
Attrition Percentage rate reduced in Trainee category through TEI like fun@work, sports events and counselling
Revision and fixation of minimum wages
Transport/Canteen:
Canteen Visit Check Food Quality and Canteen Facility related Query Handling
Canteen Equipment Maintaining
Canteen Food count monthly draft preparation and Closing Bills.
Transport movement monitoring and monthly bills closing.
Canteen, Transport, Safety, Sports Committee Meeting schedule organize and MOM circulate .
Company Vehicle Hyundai I10/KIA, Ambulance Insurance/Pollution Renewal and Pick up and Drop Movement Monitoring.
Welfare Activities:
Yearly Budget Preparation and Monthly Provision Given to Finance.
Housekeeping Material /Stationery order Inward cost checking and ensure that material available asper the flow.
Support CSR Activities
Welfare activities such Shoes/Uniform/Safety Goggles /Sample approval and consent with union EHS,PR/PO/Sizing ,Order follow up and timely delivery.
Organized yearly once Uniform and Shoes with RAS approval
Customer/Auditors Arrangements
Cab booking for company employees’ asper the requirement
Arranging customer / visitor flight ticket booking / hotel room booking and transport arrangements
Welcome Kit/Welcome Board arrangements handling
Plant visual display and Maintenance activities
Administration Expense management:
Purchase Office equipment like Pantry Items/Plantation Trees Purchase of Customer /Auditors Biscuits, Coke general expense handling.
Administration Expense Handling and Administration General Expenses Bills Closing timely.
Security:
Security CCTV Monitoring
Recruitment of security and ensure service are in place
Service Bills MRN Closing work.
Material Gate Vehicle Movement Monitoring
Material Gate Delivery Challan Monitoring
Support internal legal compliance, external vendor, government authorities and local stockholders management.
Visitor Control Management for Safety
Security Checking and Gate keeping control entrance of promises.
Liaison with External authorities (Pollution Board, Food Safety Officered ,Gov Officers)
Security Records Maintenance
Indent /PO Request and Follow up:
I Valua, Indent Creation and QAD Approval follow up.
Ensure contract agreement and renewal process handling.
Contractors’ Coordination to service-related activities Handling
Employees Insurance:
Employees Compliance and Grievance handling
Employees insurance Addition /Deletion co ordination
To support medical claim process
Employee engagement Activity
Training Program organizing
Employee engagement activities/Event conduct to motivate all employees.
Organizing Monthly communication meeting for all employees
Town Hall Meeting Organizing
Events Management – Fun work, Weekly Sharing, Birthday celebration, Best QCC selection, Best Suggestion selection, Team outing, Festival celebrations etc.
