Operations Support Facilities Manager

Position Overview: The Office Facilities Support Manager will serve as the go-to person for all building and property maintenance needs. This individual will be responsible for overseeing and executing a variety of tasks to ensure that our office environment is well-maintained, safe, and functional. The role includes hands-on work such as replacing light bulbs and scheduling necessary supplies, as well as interfacing with the landlord for any critical maintenance-related items. The Office Facilities Support Manager will be an integral part of our team, ensuring our workplace remains an ideal setting for productivity and employee satisfaction.

Key Responsibilities:

  • Oversee and manage all aspects of office maintenance and facilities operations.

  • Perform routine maintenance tasks, including but not limited to replacing light bulbs, minor repairs, ensuring the cleanliness of facilities and comfortable temperature in all areas. Troubleshoot to identify root cause of issues and take corrective action if possible on maintenance tasks related to plumbing and electrical also, engaging landlord when appropriate.

  • Schedule and monitor the restocking of essential supplies, such as kitchen and bathroom items, to maintain adequate inventory levels.

  • Liaise with the landlord and external contractors to coordinate more substantial maintenance work or repairs, ensuring minimal disruption to office activities.

  • Work with local management and administrative support to obtain quotes and raise purchase orders or PCard expenditures to engage contractors for repairs or improvements and to engage suppliers for facilities supplies to replenish.

  • Maintain accurate records of maintenance schedules, supplies inventories, and expenditures.

  • Conduct regular inspections of the premises to identify and resolve issues promptly. This includes washroom restocking and light cleaning thru the day and cleaning up messes that could appear during the day.

  • Maintain lockers for staff use, including USB recharging.

  • Ensure general furniture and equipment functionality and attend to problems in workspace (desks areas and meeting rooms), breakroom, kitchen, patio, washrooms, reception areas and labs.

  • Support special events and meetings thru the re-configuration of furniture, including setting up and putting away chairs, tables, event equipment, games equipment.

  • Manage the office security systems in coordination with company global security team, ensuring they function correctly and employees are safe. Manage building badges with landlord staff, ensuring new ones provisioned for new staff or replacements and reclaimed for staff who leave.

  • Develop and implement office health and safety policies in compliance with legal and company standards. Do so a member of the local JHSC team.

  • Respond to urgent maintenance calls and facilitate rapid resolutions to any facilities-related issues, including security alerts/alarms.

  • Take on periodic reception tasks including receiving and sending out courier or other shipping related activities. Arrange and support movement to our suite for large shipments that need to use building docs or special handling.

  • Take on additional general tasks associated with the facilities as assigned by your manager.

    Qualifications:

  • A minimum of 5 – 7 years of experience in facilities management or a similar role.

  • Knowledge of maintenance procedures and basic handyman skills.

  • Strong organizational abilities and attention to detail.

  • Good communication and interpersonal skills, with an ability to coordinate with a range of stakeholders.

  • Proven ability to manage multiple tasks and prioritize effectively.

  • Familiarity with health and safety regulations applicable to office environments.

  • Strong problem-solving skills and the ability to work independently.

  • A proactive attitude and a willingness to undertake a range of tasks to maintain an efficient office setting.

  • Comfort with basic office software for task management and documentation purposes.

    Education:

  • High school diploma or equivalent is required.

  • A college diploma, certification in facilities management, building systems, or a relevant trade, is highly desirable.
