This position is based in Northbrook, Illinois. Hybrid work from certain states may be permitted in accordance with Astellas’ Responsible Flexibility Guidelines. Candidates interested in hybrid work are encouraged to apply.

Purpose:

Responsible for end-to-end planning, execution, and project management of GCA-managed events (including virtual, hybrid and in-person), according to Congress and Events GCA ways of working. Collaborates with US-C, global teams, and other functions to understand program needs and ensures events are planned and executed in a manner that is effective, efficient, and consistent with Congress & Events GCA standards and guidelines while remaining in compliance with legal regulations, codes and company guidelines.

Essential Job Responsibilities:

  • Act as project manager on GCA-accountable meetings/events/projects in collaboration with business partners.

  • Collaborate effectively with appropriate therapeutic areas/departments on the design, development and delivery of strategic meetings and events.

  • Manage third-party vendors (local or global), as appropriate, to achieve optimal and cost-effective delivery of events consistent with GCA ways of working.

  • Overall GCA applicable event budget planning and control, in collaboration with internal business partners, ensuring that any accountable event is delivered within or below stated budget. Review all master accounts and final billing to ensure accuracy.

  • Ensure all activities are in compliance with legal regulations and company guidelines and aligned with C&E GCA processes, policies and ways of working.

  • Measure and report on agreed KPIs in collaboration with business partners and measure progress toward achievement of activity objectives. Ensures objectives are consistent with corporate and/or product/brand strategy. Report on event outcomes following meeting conclusion.

  • Drive continuous improvement and evolution of event delivery by working with relevant business partners to gather insights and customer feedback on experience, ensuring learnings and improvements are embedded into future events and/or processes.

  • Other such duties/projects as may be reasonably required by department or business.

Qualifications Required:

  • Work experience in an event planning environment (corporate, hotel or third-party agency) and/or hotel management (minimum 5 years).

  • Pharma sector event management experience with strong customer focus; in multi-disciplinary, matrix and cross-cultural settings.

  • Excellent organizational skills, ability to multi-task, effective project management skills and commitment to meeting deadlines and ability to work well under pressure.

  • Must be circumspect in handling highly confidential and sensitive information. Understands and applies Astellas values, maintains, and demonstrates high ethical standards when conducting Astellas business.

  • Self-motivated, strong decision-making skills, detail-oriented, takes initiative and has ability to work independently without close supervision and with all levels of management.

  • Strong negotiation skills and ability to maintain expenses and budgets.

  • Must be able to interact in a professional and collaborative manner with internal departments, field-based personnel, and Astellas vendors.

  • Demonstrates full and in-depth knowledge of Microsoft Office and department specific software (Cvent).

  • Excellent written and oral communication skills.

  • Highly flexible travel schedule (35%) to major events.

  • The appropriate knowledge and skills obtained through education (BA or AA or equivalent).
