A day in the role…

  • Administrative office of a large pediatric practice is seeking an experienced full-time executive administrative assistant to support the CEO and CFO.

  • Candidate must be comfortable and have a history of success managing a high volume of tasks and short deadlines with an extraordinary attention to detail.

  • Candidate must be highly self-motivated with advanced initiative and intuition.

  • Candidate must have the ability to multitask and possess strong organizational and communication skills.

  • Position requires the ability to work independently and to staff occasional early mornings and late evenings.

Detailed Duties:

• Act as point of contact between executives and internal or external colleagues

• Support the calendar, management for CFO and CEO –look at calendar ahead of time to make sure they are prepared for the meeting

• Getting meetings coordinated with physicians

• Editing employment contracts (other representatives write the contract) they need to be able to proofread fix all grammatical errors

• Schedule, organize and set up all aspects of virtual and in person meetings

• Determine priority of matters of attention for the executives; redirect matters to staff or handle matters personally, as appropriate

• Keep executives advised of time sensitive and priority issues, ensuring appropriate follow up

• Employment/Partner contract preparation

• Make travel arrangements and detailed travel itineraries

• Attend meetings and take minutes; prepare the initial draft of minutes and summaries

• Produce reports and presentations

• Distribute agenda materials for scheduled meetings

• Maintain filing database and look for ways to improve current systems

• Compose and prepare letters relating to routine correspondence from executives

• Provide coordination, monitoring and communication of projects within the administrative offices

  • Company event planning

Core Experience:

  • Executive Administrator (3+ years of experience)

  • Bachelor's Degree (required)

  • High Level Administration

  • Healthcare Administration (preferred)
