About the Department

New York Road Runner’s Brand Marketing and Communications is charged with managing the organization’s creative services, editorial, advertising, and digital operations. The team’s efforts build upon NYRR’s recent brand initiative and Run for Life platform as the organization seeks to tell the bigger NYRR story of huge positive impact; our ongoing focus on broadening our engagement with runners of all types; our efforts to strengthen our alignment with, and support of, our corporate partners; and our opportunity to unlock the power of our community in supporting our youth- and cause-related efforts.

About the Position

This exciting new position includes responsibility for the production lifecycle of a wide variety of signage, graphics, branded environment, and way-finding projects, serving as the critical connection between the design team, the Sponsor Partnership, Brand Marketing, and Event Development and Production Team.

The Studio Production Specialist will oversee vendor sourcing and relationship management, final preflight and file prep of graphics projects, production timeline management, technical specification and budget management for a variety of internal graphics deliverables including but not limited to, event site signage, retail (NYRR Run Center), experiential, and general outdoor.

The Studio Production Specialist will be a key player in the larger interdepartmental teams responsible for the delivery of branded environments and experiences across all NYRR platforms.

Job Responsibilities (primary and secondary duties) :

  • Work closely with Stakeholders to procure and produce signage for NYRR Races and Events.

  • Maintain and communicate master schedule for asset production for all departments of NYRR.

  • Communicate vendor production timelines, production and delivery status, vendor quotes and cost tracking for all creative projects.

  • Maintain daily contact with cross-functional leads on the development and approvals for all projects.

  • Track projected budgets, assist in reconciliation of invoices for non-signage creative purchases, and record actual costs in Studio Logs. Become familiar with billing and budgeting procedures; report and assist in creative budget planning. (NetSuite)

  • Collaborate with Brand and Creative Studio Leads to support processing of quotes, POs, vendor invoices and check requests, coordinating with Finance Department (NetSuite).

  • Assist with the creation and tracking of vendor and consultant agreements. (SalesForce).

  • Assist the Brand Creative Studio Leads as needed (Production, Design, Video and Photo) to support creative development process. Assist the Brand Creative Studio Leads as needed (Production, Design, Video and Photo) to support creative development process.

  • Reconcile Studio cost tracking and create projected budgets for future projects.

  • Collaborate with the Creative Brand Studio team on projects as necessary.

    Job Requirements:

    Experience:

  • 3+ years of relevant vendor management and budgeting experience, preferably in agency or events environment

  • Project trafficking experience

  • Asset production experience (Print, Digital, Video, Photo)

  • Proven ability to learn new tools and technologies to support and implement new initiatives

  • Proven ability to work quickly, tracking the details of large volumes of fast-moving creative projects

    Education & Certifications:

  • College degree preferred not required

    Skills and Attributes:

  • Strong attention to detail

  • Experience managing multiple projects and multiple timelines within those projects.

  • Excellent written and verbal communication skills

  • Highly skilled in Microsoft Office for Mac (focus on Excel with functions, Power Point and Word)

  • Familiar with Adobe Creative Suite (Illustrator, InDesign, Photoshop)

  • Familiar with Google Docs

  • Familiar with Microsoft 365 (Teams, Sharepoint)

  • Experience using NetSuite, Adaptive and Salesforce a plus

    Other Requirements:

  • Experience with Project Management tools a plus

  • Familiar with process of developing and launching new workflow tools, supporting staff training, and continuing agile (iterative) development of tools.

    Weekend Work Requirements

  • All staff are required to work the NYC Half Marathon, Brooklyn Half Marathon, and the TCS NYC Marathon.

    Salary: $65K

    NYRR requires all employees to be vaccinated against COVID-19 unless approved for a medical or religious exemption.
