FirstService Residential Punch List Project Manager/ Business Development Manager in New York, New York

As Punch List Project Manager/ Business Development Manager, you'll act in a multifaced role within the Project Management team. You'll develop and manage punch lists, coordinate walk throughs, act as liaison to shareholders and monitor quality of deliverables. Additionally, you’ll contribute to business development, lead management and event coordination.

Your Responsibilities :

  • Schedule buyer walkthrough dates with brokers, buyers, or their designated representatives.
  • Ensure walkthroughs are conducted two weeks prior to the closing date.
  • Perform physical or virtual walkthroughs to document construction deficiencies or inconsistencies.
  • Create, manage, and update closing and walkthrough schedule reports.
  • Photograph and detail all remaining construction deficiencies during walkthroughs.
  • Prepare and distribute punch list reports to sponsors within 48 hours of walkthroughs.
  • Ensure all punch list items are tracked through a master tracking sheet, including responsible parties and deadlines.
  • Provide regular updates to sponsors, unit owners, and building staff regarding construction schedules and punch list progress.
  • Coordinate permission to enter requests with unit owners for necessary work.
  • Communicate with the construction team to schedule and complete required work.
  • Inspect each item on the contractor’s completion report weekly to accept or reject work on behalf of the sponsor.
  • Attend weekly coordination meetings and conduct site walkthroughs with the construction team to approve completed items.
  • Maintain and update master tracking sheets, punch list reports, and long lead item tracking sheets.
  • Create and manage a Dropbox folder with all relevant reports and documentation.
  • Provide unit owners with updated punch list reports and final completion letters once all items are signed off by the sponsor.
  • Prepare and create detailed proposals for delivery to clients, ensuring alignment with their needs and our service offerings.
  • Organize and update the pipeline spreadsheet to track potential leads and ongoing projects.
  • Conduct weekly meetings with senior project managers to review the pipeline and discuss ongoing and upcoming projects.
  • Coordinate and prepare materials for monthly meetings, ensuring all necessary information is compiled and distributed.
  • Create and deliver compelling materials for new business leads to attract and engage potential clients.
  • Create and maintain a matrix of potential project leads, ensuring all opportunities are documented and tracked effectively.
  • Plan and coordinate quarterly events to promote business development and networking opportunities.
  • Perform various administrative tasks as needed to support the business development and project management teams.
  • Write concise and informative one-pager project summaries to provide clear overviews of project objectives, progress, and outcomes.
  • Conduct research as needed to support business development activities, including market analysis and competitive intelligence.

Qualifications & Skills:

  • Bachelor’s Degree of Engineering, Construction Management, Architecture, or related field.
  • A minimum of 2+ years of experience in punchlist, project/construction management.
  • Understanding of NYC department of building codes and permitting processes.
  • Strong knowledge of building electrical and mechanical laws and codes.
  • Knowledge of MS Office, including Project.
  • Strong analytical and research skills.
  • Excellent written communication skills, interpersonal and problem-solving skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Experience with CRM software is preferred.
  • PE License and or PMP is preferred.
