MCC Program Coordinator FY25

Salary Range: $26.44 To $29.81 (USD) Hourly

Reports to: Director of Operations

JOB PURPOSE

Early Childhood at Manny Cantor Center is helping to build a vision for progressive education on the Lower East Side. Inspired by progressive preschools around the world, we believe that all children learn through inquiry, exploration and play in the context of strong relationships and a sense of belonging. Our Program Coordinators provide critical support to families, teachers and staff, and facilitate the day-to-day operations of our school.

SCOPE OF INFLUENCE

  • Partner with the teaching staff and administration in the overall philosophy and direction of the preschool

  • Support in operations, data entry, and workflow functions for Early Childhood programs

  • Ensure full compliance with applicable local, state, and federal regulations and laws that govern Educational Alliance programs and facilities, including permit application, recertification, audits, and site inspections, so that the organization is “review ready”

  • Close working relationship with both teaching and administrative staff

  • Acts as a liaison for families into the school

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Enrollment, Registration and Compliance Paperwork

  • Support families through the enrollment process by supporting them in completing all required paperwork for registration

  • Collaborated with the Director of Operations to ensure all required paperwork has been submitted for health and wellness compliance

  • Keep documentation of fire drills and lockdowns

  • Work with the Director of Operations to keep and up to date and complete allergy list for student’s by each floor

  • Work with families when they need pecific allergy paperwork that needs to be filled out by the student’s doctor. Send reminders to parents every 6 months to get filled out by doctors.

  • Incident reports: keep a binder on each floor and ensure that all incident reports are completed correctly

  • Each November, send out email reminders about administering flu shot and submitting new vaccination forms by Dec 31 each year

Interactions with Staff, Children and Families

  • Build respectful and reciprocal relationships with families to be able to answer questions about program services and supports

  • Maintain and adhere to confidentiality practices to support family’s privacy and well-being

  • Maintain all responsibilities of Mandated Reporting

  • Supports families in the completion of ASQs at the beginning of school

Administrative Support

  • Manage and maintain up-to-date physical and digital files for all children, as required by Head Start/Early Head Start/UPK/Early Learn/CACFP/DOH/DOE

  • Update family case notes, class rosters and attendance in compliance with our funding requirements as needed

  • Support logistics and day-to-day operations of Early Childhood program, including answering phones, scanning, filing, faxing, copying, and answering the door

  • Create and translate flyers, forms, and mass emails to provide information about program events and relevant opportunities to families

  • Create effective and efficient organizational system for Early Childhood Office. Organize physical space in a way that is accessible and systematized

  • Ensure that weekly information to families is up to date (menus, special announcements, etc)

  • Complete daily attendance checks for classrooms and outlog for classes leaving the premises

  • Responsible for staff/outside provider sign in/out sheets – scanned and uploaded to drive monthly

  • Daily Classroom check – check attendance board to match Ipad and #s by 10:00

  • Check aftercare #s and provide to Ops for aftercare coverage

  • Ensure that all information in Child Plus is up to date

  • Work with the Data Manager to complete any vendor portal updates, record attendance and enroll students – daily/weekly

  • Work with the Operations Coordinator to keep the supply closet stocked appropriately for staff and students

Operational Support

  • Maintain up-to-date knowledge on agency and department program plans, policies and procedures

  • Work with the Director of Operations to complete any school operations tasks as necessary

Other

  • Attend staff meetings, professional development, program enrichment and other events as assigned (sometimes outside of work hours)

  • Perform other duties and responsibilities as assigned

JOB REQUIREMENTS

  • Experience in school operations

  • Demonstrated knowledge of working with families of diverse socio-economic backgrounds

  • Knowledge and use of MS Office Suite and advanced computer literacy

  • Knowledge of data entry and ability to learn and adapt to various computer systems

  • Strong document management and maintenance skills

  • Ability to read, write and communicate in English

  • Strong oral and written communication with parents, children and co-workers

  • Excellent interpersonal skills

  • Actively participate in community and program events

Preferred Attributes:

  • Bachelor’s Degree

  • Knowledge of Early Childhood Education

  • Knowledge of DOH, Head Start or NYCDOE regulations and policies

  • Bilingual English/Chinese (Mandarin or Cantonese) or English/Spanish (preferred)
