The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Writer/Editor, the Manager of Communications Operations is part of the communications team of the Graduate School of Arts and Sciences, focused on graduate school audiences: current and prospective students, faculty, and alumni.The Manager of Communications Operations will:

  • Work with Writer/Editor to manage communication workflows.
  • Execute (collect, build, and format) a steady flow of administrative e-mailings.
  • Maintain, update, and improve the school's website so that it is user-friendly, appealing, and fresh.
  • Work with GSAS offices to maintain and improve their web pages and support their respective communications needs.
  • Be responsible for social media presence and maintenance of all communications platforms and systems.

Responsibilities

COMMUNICATIONS OPERATIONS (60%)

Collaborates with Writer/Editor to format content and distribute mailings on a demanding schedule:

  • Format and distribute weekly complex GSAS MA and PhD student newsletters, in addition to other occasional student newsletters from central GSAS offices.
  • Promote other events and resources to students and alumni.
  • Manage an annual series of welcome messages to newly admitted students.
  • Format and distribute frequent individual messages to academic department leadership.
  • Send complex annual admissions memo to faculty admissions committees.
  • Manage multiple listservs of varied groups of academic department faculty and staff.
  • Create bespoke mailing lists according to discrete messaging needs.
  • Build and manage communication workflows.
  • Coordinate the collecting, formatting, and assembling of material for annual GSAS publications (Directors of Graduate Studies Handbook; PhD and MA Convocation booklets, etc.).

WEBSITE AND SOCIAL MEDIA (20%)

Works with the Writer/Editor to develop and amplify the GSAS voice online and on social media.

  • Maintain and update GSAS website to highlight current events, initiatives, and policies.
  • Make annual webpage updates to Orientation and Commencement pages, academic calendar.
  • Make individual edits and fix broken links as needed.
  • Work with Writer/Editor to curate and add website content, leveraging SEO expertise.
  • Coordinate annually with the Admissions Office to execute end-of-summer updates to respective GSAS academic program pages, updating to reflect annual turnover of faculty contacts and admissions requirements.
  • Manage and produce copy for GSAS social media accounts.

TECHNICAL 10%

  • Collaborate with GSAS and university IT to ensure communications uses secure platforms and channels.
  • Maintain communications platforms including all databases and collaboration platforms including, but not limited to: (Asana), CMS (Salesforce), desktop publishing (Adobe Suite, Mailchimp), admissions software (Slate), website (Drupal), contact lists (internal listservs).

DESIGN 10%

  • Collaborate with GSAS offices to design invitations, programs, flyers for: awards dinners, alumni events, academic competitions; design swag for orientation / convocation; design holiday card. Create flyers/coupons for Nous Espresso Bar in Graduate Center.
  • Hire and direct Columbia photographers and videographers for website and events; manage photo library; organize and edit photos.

Minimum Qualifications

  • Bachelor's degree required, master's degree a plus. A minimum of 2-4 years of relevant experience, preferably in higher education or nonprofit organizations, working on small teams.

  • Ability to handle multiple priorities under deadlines while maintaining a high level of professionalism and attention to detail. Ability to develop, implement, and interpret effective systems for managing project work. Excellent verbal and written communication skills.
  • Must be comfortable with desktop publishing platforms, CMSs (content management systems), design platforms. Comfort working with Adobe products (InDesign, Illustrator, Photoshop, and Lightroom). Extensive experience working with various mailing platforms and CRMs.

  • Proficient in Microsoft Office Suite (especially Excel and Word). Web design experience. Social media experience: posting on various platforms, experience doing sponsored posts, understand how to think about and cater to specific audiences, understand the limitations of each platform. Some HTML experience, if possible.
