What you'll do

In this critical role on AlixPartners' Executive / Partner & Managing Director (PMD) Recruiting team, you will be responsible for the overall Executive/PMD candidate experience through our recruiting process in the Americas, with additional opportunities to work with EMEA and Asia clients and candidates. In addition, you will play a meaningful role in aligning stakeholders and ensuring our systems and processes work effectively.

The PMD Recruiting Senior Coordinator reports to the Global Head of PMD Recruiting. This role is in one of our core United States offices, ideally New York, Detroit, or Chicago, although Houston, Dallas, Boston and Washington, D.C. may also be considered. Paid relocation is not available. Occasional travel may be expected.

At its core, this role will work closely with the global PMD recruitment team, candidates, and stakeholders to ensure all parties experience a timely, efficient, caring, and high-quality search process. You will help manage the executive candidate onboarding experience and program, liaising with all relevant parties primarily in the United States, though opportunities exist for partnership and vacation coverage in EMEA and Asia. The role is vital to ensuring everyone has the information they need, when they need it, to provide a seamless, thoughtful experience for all parties. Thinking ahead of the ask will be vital in this trusted role.

Specifically, you will:

  • Build trusted relationships with key contacts within the firm, including the administrative team, technology, office managers, key leaders, etc.
  • Ensure that recruiting data is being collected, recorded, and documented in a timely, confidential, and legally compliant manner.
  • Work with colleagues in your team and other groups to continually find and improve the candidate experience, from their first engagement with AlixPartners to their onboarding process.
  • Oversee and organize the workflow of Partner and PMD searches via our CRM and ATS (Greenhouse) and project management skills, engaging in timely communication and problem solving as needed. This includes creating and closing requisitions, updating candidate status, tracking interview progress, managing offers, and tracking team and candidate deliverables.
  • Own and continually improve how we use our applicant tracking system/CRM (Greenhouse) as the team's subject matter expert by setting best practices for requisition and candidate data management, improving system functionality, ensuring data is complete and accurate, generating reports, and training others as needed.
  • Schedule and maintain internal client / hiring manager calls, debriefs, candidate interviews and other relevant stakeholder meetings.
  • Draft interview prep emails to candidates including interview bios, schedule, and logistics information.
  • Partner with Administrative colleagues to coordinate schedules and ensure stakeholders are aligned - going the extra mile to make sure all parties are up to date, informed and have what they need including sending interview prep emails to candidates - interview schedule, locations, bios, etc.
  • Capture and action requests for scheduling, problem solving when conflicts arise with a mind to the candidate and stakeholder experience, with an expeditious nature. Ensure that everyone is kept well informed with open communication channels.
  • Partner with colleagues to process invoices, ensuring they are tracked and paid properly and raising concerns if anything seems afoot.
  • Directly connect with candidates about logistics and to answer their questions.
  • Create or co-create regular reports and agendas for internal stakeholder meetings, ensuring the reports and the ATS are aligned, identifying any gaps or action items, and pushing to-do and wins to the correct points of contact.
  • May participate in market mapping (research) and initial market outreach via LinkedIn and email to new prospects.
  • Occasionally, manage in-person interview and meeting preparation including reserving candidate meeting rooms, managing travel and expenses, IT coordination, and lunch / catering.

What you'll need

  • Minimum five (5) years of relevant experience within a corporate or professional services setting.
  • Experience working with a CRM system (e.g., Greenhouse) preferred.
  • Experience using project management tools or approaches.
  • Problem solving - able to think "ahead of the ask" around conflicts, cancellations, candidate, and stakeholder experience, etc.
  • Ability to work independently to drive multiple, shifting priorities with a sense of urgency.
  • Excellent client-service orientation and experience demonstrating the ability to influence and successfully collaborate with a range of global stakeholders across a complex matrix.
  • Excellent organization and time management skills with the ability to prioritize tasks and adapt to changing circumstances.
  • Effective written and verbal communication skills in English with the ability to present to stakeholders at all levels.
  • Proficiency in MS PowerPoint, Teams, Word, and Excel.
  • Ability to travel, as required.
  • Willingness to work outside of normal U.S. business hours, and as unique projects/needs arise. We can flex time, but there may be early morning or evening items that need a response (7am CT or 6-8pm CT).
  • Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday.

  • Must be currently authorized to work in the United States. No VISAs available for this position.

The firm offers a comprehensive benefits program including health, vision, dental, disability, 401K, tuition reimbursement, identity theft protection, and mental wellness support. Employees will also receive a generous paid leave policy including vacation/personal time starting at 7.34 hours per pay period, sick time up to 80 hours annually, parental leave, and twelve holidays.

The salary range for this role takes into account a number of factors and is between $83,000 - $98,000 with potential eligibility for an annual discretionary bonus.
