Position Overview: The Second Assistant to the Executive CEO will play a critical role in ensuring the smooth operation of the CEO’s office and supporting the strategic goals of the company. This position requires a highly motivated individual with exceptional organizational skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. The ideal candidate will thrive in a fast-paced environment and demonstrate a strong understanding of both the advertising and AI sectors.

Key Responsibilities:

Administrative Support:

  • Provide comprehensive administrative support to the Executive Assistant, including scheduling meetings, and correspondence across multiple time zones.

  • Reconcile and process highly detailed expense reports including proactively help obtain receipts and track reimbursement

  • Maintain awareness of industry and business partners, high priority contacts and key stakeholders

  • Support other Partners administrative needs as directed

  • Handle confidential and sensitive information with discretion and professionalism.

Communication and Coordination:

  • Coordinate and confirm restaurant reservations; ordering-in meals as necessary.

  • Coordinate with other departments to facilitate project execution and ensure alignment with the CEO’s directives.

Meeting and Event Management:

  • Support Executive Assistant in planning and executing company events, conferences, outings retreats and other special functions. Including but not limited to ground transportation, catering orders, tickets and reservations, supporting guest/client needs

  • Maintain accurate lists of RSVP’s

Project Management:

  • Assist in managing and tracking progress on key projects and initiatives as directed by the Executive Assistant working closely with New Business and Communications Teams

    Requirements

Qualifications:

Education: Bachelor’s degree in Business Administration, Marketing, AI, or a related field preferred.

Experience: Minimum of 2-4 years of experience in an executive support role, preferably within the advertising or AI industry.

Skills:

  • Exceptional organizational and time-management skills with the ability to handle multiple priorities.

  • Strong written and verbal communication skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with industry-specific software and tools.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • High level of discretion and integrity in handling confidential information.
