Global Commercial Services (GCS) provides a range of card programs and expense management tools to help large, medium and small businesses around the world manage almost all the facets of their business spending. The GCS Lead Financial Office (LFO) team is responsible for providing financial management, decision support, and planning & results analysis to the GCS President and her direct reports to help achieve BU and AXP financial targets. The team works closely with GCS business partners and multiple Finance teams to drive insights which have a meaningful impact on GCS business strategy.

We are looking for a highly motivated and organized Executive Assistant to provide administrative support to the SVP/CFO, Global Commercial Services. The ideal candidate should be eager to learn about the function and willing to take on new assignments related to the teams being supported.

Role & Responsibilities:

  • Responsible for calendar management on a daily, weekly and monthly basis

  • Manage logistics of meeting administration (in-person, telepresence and WebEx)

  • Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas

  • Facilitate with the organization of colleague engagement events and team-building activities for the team

  • Procure laptops, office supplies, office space, etc. and manage the procurement process including researching and approving invoices, and researching standard accounting errors

  • Maintain organizational charts and department distribution list

  • Ensure timely preparation and processing of expense reports and invoices; review expenses submitted to leader for approval and highlight any out of policy spend

  • Coordinate facilities management responsibilities

  • Manage general follow-ups and generate reminders to effectively meet deadlines and commitments

  • Assist with special projects and initiatives as requested

  • Communicate effectively with all team members and key partners of all levels and work closely with the other executive assistants on office operations

Qualifications:

  • 3 years of previous experience as an Executive Assistant to a senior leader and familiar with office management and technologies

  • Ability to exercise discretion and confidentiality with sensitive information

  • Motivated, proactive team player with strong organizational, administrative and interpersonal skills

  • Strong attention to detail with an emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing

  • Must work well under pressure without losing composure and professionalism

  • Excellent verbal and written communication skills (via phone, email and in-person)

  • High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – phone functions, MS Outlook, Ariba, Concur, Payroll and myHR

  • Knowledge of AXP policies and office procedures

  • Excellent time management and organizational skills with a strong focus on accuracy and attention to detail, ability to work flexibly, sometimes under pressure

  • Proven ability to manage multiple priorities, work independently, work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks

  • Ability to interact effectively and diplomatically with executives and Executive Assistants across the organization

Qualifications

Salary Range: $24.05 to $48.10 hourly bonus benefits
