RXR Management Holdings LLC Director of Lease Administration & Reporting in New York, New York

Gross asset value compiled by RXR in accordance with company fair value measurement policy and is comprised of capital invested by RXR and its partners, as well as leverage.

Job Summary & Responsibilities:

  • Responsible for the dissemination of all leasing documents, preparation of all lease memos, update all reports as discussed below.

  • Responsibilities:

  • Coordinate “Deal Closing Process”:

  • Prepare and send accurate and well composed LCD/RCD notice to tenants

  • Distribute lease documents and prepare Lease Memos for NYC properties.

  • Update Leasing Status Report upon deal closing and on a monthly basis.

  • Update Stacking Plans for all (6) NYC properties including options

  • Responsible for tracking all Tenant/Landlord notices for options (i.e. renewals/expansions/right of first offer/termination).

  • Update R-FOCUS, CoStar and other listing services upon deal closing.

  • Ensure that SpaceMan is being updated in a timely and accurate manor.

  • Verify and process all commission payments with final approval from VP.

  • Set up field verification and tenant partitioning with Plan Data Systems.

  • Maintain Floor Plans for current, proposed and old availabilities.

  • Coordinate Lease Expiration process with Accounting, Leasing and Building Management (i.e. close out forms/holdover forms)

  • Review invoices pertaining to leasing/review general ledger and review with Phil Amadio (Asset Manager)

  • Review and update monthly listings, Broker Broadcasts and Space Online and CoStar & RFOCUS.

  • Participate in Staff Meetings and Leasing meetings with Managing Director & Co-Directors. Responsible for updating the Staff Meeting Agenda.

  • Attend Real Estate Functions.

  • Participate in the ongoing organization and implementation of the Business Plan and quarterly reporting.

  • Audit and verify information in various platform including Prophia, VTS, Yardi

  • Prepare detailed reports for individual asset updates and roll up for the entire portfolio

  • Update internal leasing data base for comps / time market reporting

  • Participate in the leasing process and assist in gathering appropriate tools during the transaction process.

  • Monitor progress of transaction and continually update and audit all deal status in VTS

  • Assist in the preparation of the bi-weekly leasing call. Make sure all metrics are correct and in presentation form.

  • Maintain and organize the leasing data bank. This includes tracking, inputting, verifying and triangulation of all comps and TIMS, market reports, special projects either prepared internally or from external sources.

  • Communicate with team partners and update the status of leasing activity in VTS

  • Maintain and update CoStar data

  • Prepare quarterly reports for corporate reporting

  • Update and maintain stacking plans, test fits, and tenant plans

  • Update and help maintain information on building websites

Experience and Education:

  • Bachelors Degree required

  • At least 5 years in a lease administrative role

    Bonus eligible.
