The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Dean of Communications and External Relations (CXR) at the School of International and Public Affairs (SIPA), the Coordinator provides communications and marketing support, logistical and publicity support for SIPA special events, as well as general administrative support for the CXR unit.

Responsibilities

  • Working closely with the Associate Dean of CXR, as well as members of the CXR team, the Coordinator is responsible for assisting with the layout and production of marketing communications, including email marketing campaigns, advertising assets, e-newsletters, event invitations and promotion, social media campaigns, and printed materials.
  • Monitors and updates the School's website using the content management system (Drupal).
  • Assists with event planning and execution for special events organized by CXR, including communication and negotiation with venues, review of vendor contracts, creation and distribution of event communication, guest inquiries and registration, and coordination of event set-ups; duties include staffing some events during evenings and weekends.
  • Assists with managing internal and external events calendars and handling requests to promote School events across SIPA's audiences, triaging and directing inquiries requiring escalation as needed.
  • Assists in the production of video and photoshoots including scheduling, securing spaces, liaising with vendors, etc.
  • Updates and manages the unit's mailing systems and lists.
  • Manages the unit's creative assets and prepares visual assets for the web and special events.
  • Compiles analytics reports for the unit's communications, marketing, and events efforts.
  • Provides general operations support for the unit; duties include scheduling, preparing paperwork for P-card purchases, invoices, and billing for SIPA branded merchandise for submission to the SIPA Business Office, ordering supplies, and renewing subscriptions. Acts as a liaison with the SIPA Business Office with respect to the same.
  • Performs related duties as requested or assigned.

Minimum Qualifications

  • High School diploma or its equivalent required.
  • Three years of related full-time-equivalent experience required.
  • Must be proficient in Microsoft Office, e-mail marketing platforms (ex. Mailchimp), and website CMS systems (ex. Drupal/WordPress).
  • Experience with event management, email marketing, social media, and web/graphic design.
  • Must have exceptional interpersonal skills and be able to deal with individuals at all levels of faculty, staff, alumni, and other external stakeholders.
  • Candidate will be detail-oriented, and highly organized, with the ability to work successfully in a fast-paced, team-oriented environment.
  • Excellent oral and written communication skills are a must.
  • The Coordinator will exhibit proactive customer service and be results-oriented with the ability to prioritize and handle multiple projects simultaneously.
  • Prior experience on an events and/or marketing team is essential.
  • The successful incumbent will also be willing to work flexible hours to attend events that take place outside of the normal workday.

Preferred Qualifications

  • Bachelor's degree strongly preferred.
  • Project management skills and experience with Adobe Creative Suite are a plus.
  • The ideal candidate will also have an awareness of international policy issues.
