About the Department and Position: THE CONTRACTS, LIABILITY AND INSURANCE DEPARTMENT Cayuga Centers is committed to providing our staff with the safest possible work environment. Under the supervision of the General Counsel, this position is responsible for assisting in the management of insurance policies, contracts, and the research and development of new Risk Management initiatives to benefit each Cayuga Centers' employee. The Contract Specialist will provide comprehensive administrative and operational support to the Director of Contracts Liability & Insurance and the wider contract management team. This role requires a highly organized and detail-oriented individual with strong communication and interpersonal skills. The Contract Assistant will be responsible for coordinating meetings, assisting with preparing contract package requests, and updating contracting milestones. Essential Functions:

  • Work with the Director of Contracts Liability & Insurance, to manage and facilitate the contractual obligations at Cayuga Centers.

  • Collaborate with other departments to ensure compliance with contract deliverables.

  • Utilize risk management strategies to identify potential opportunities and risks within the organization and its environment to protect the agency’s business interests and strategic goals.

  • Represent Cayuga Centers in the community with internal and external stakeholders to strengthen the organization’s brand and align with the mission, vision, and values.

  • As a team member of the Office of the General Counsel, be expected to participate in professional development opportunities to enhance skills and mentor teammates.

  • Provide Administrative Support:

  • Prepare and format documents, presentations, and reports using Microsoft Office Suite or similar software.

  • Maintain organized and efficient filing systems for contracts and related documents.

  • Track and monitor deadlines for contract renewals, deliverables, and other key dates.

  • Assist in processing purchase requisitions as requested.

  • Provide Contract Management Support:

  • Assist in the preparation and review of contract documents, ensuring accuracy and completeness.

  • Coordinate the execution of contracts, obtaining necessary signatures and approvals.

  • Track contract milestones and deliverables and alert the Director of Contracts Liability & Insurance of any potential issues.

  • Maintain a database of contracts, ensuring all information is up-to-date and easily accessible.

  • Assist in the preparation of reports and presentations on contract performance.

  • Provide Communication and Coordination:

  • Communicate effectively with internal and external stakeholders, including clients, vendors, and legal counsel.

  • Coordinate meetings ensuring all necessary materials are prepared and distributed.

  • Facilitate communication between the Director of Contracts Liability & Insurance and other team members.

  • Other duties as assigned.

Schedule: Non-Exempt

  • Regular hours entails 8:00am - 4:00pm, 9:00am - 5:00pm, or 10:00am - 6:00pm Monday - Friday

  • Must be flexible to meet program needs.

Experience and Skills:

  • Bachelor's degree in Business Administration, Legal Studies, or a related field.

  • 2+ years of experience providing administrative support in a fast-paced environment.

  • Experience in contract administration or a legal setting is a plus.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent organizational, time management, and prioritization skills.

  • Strong attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Ability to maintain confidentiality and handle sensitive information.

  • Ability to work independently and as part of a team.

  • Driver’s license required (NYC location - preferred, not required)

PHYSICAL REQUIREMENTS:

  • Word processing: Including responding to emails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for a minimum of 5 hours and could be up to 8 hours a day depending on program needs.

  • Lifting of Agency file books - weighing approximately 6-8 lbs. each - 5 inch binders

  • Completing paperwork -Such as copying, stapling

  • Answering phones, processing mail, filing, lifting packages

  • Walking up/down stairs

  • Visiting program units and areas
