Confidential Executive Assistant (HEOa) - Executive Counsel to the President

POSITION DETAILS

The Confidential Executive Assistant will report to the Executive Counsel to the President at The City College of New York. In addition to the CUNY Title Overview, the Confidential Executive Assistant will work closely with the Confidential Executive Associate.

The Confidential Executive Assistant’s duties include but are not limited to the following responsibilities:

  • Provide administrative support, draft correspondence including preparation and distribution ofinternal and external correspondence, detailed documents, and reports

  • Ensure confidentiality and sensitivity in all aspects of office operations

  • Maintain office supply inventory and monitor maintenance of office equipment

  • Organize and maintain database of grievances and litigation, filing systems, and archives

  • Maintain the Executive Counsel’s calendar, schedule meetings and hearings

  • Assist in gathering and documenting confidential information and material for labor grievances and litigation

  • Assist in gathering and documenting confidential information and material for Freedom ofInformation Law requests

  • Assist with maintaining data pursuant to State Ethic Laws and regulations

QUALIFICATIONS

Bachelor's degree and four years' related experience required

Preferred Qualifications:

  • Four years of work experience supporting a senior level executive is preferred. The preferred candidate should have the following qualifications:

  • Experience in a law office, higher education institution, or comparable complex organization

  • Strong organizational, interpersonal, analytical, listening and oral and written communication skills

  • Excellent judgment, integrity, accuracy, attention to detail, strong work ethic, and the ability to maintain strict confidentiality

  • The ability to thrive in a fast-paced environment, effectively working on numerous projects simultaneously

  • Excellent computer skills, including Microsoft Office programs (primarily MS Word, -Excel, PowerPoint and Outlook)

CUNY TITLE OVERVIEW

Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.

  • Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule

  • Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community

  • Organizes, creates, and distributes key, complex management reports with a high degree of accuracy

  • Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities

  • Procures required internal and external resources and services and manages their utilization

  • May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing

  • Participates in special projects and efforts to improve unit effectiveness

  • Performs related duties as assigned.

This position is excluded from union representation.

COMPENSATION AND BENEFITS

Salary Range: $79,188 - $86,645.Salary commensurate with education and experience.
