Salary Range: $29.15 - $33.90

Position Summary

Under direction, provides patient care, administrative, and billing support to clinicians and administrative staff. Under guidance, provides a wide range of administrative and secretarial support to senior staff within the department.

Job Responsibilities

  • Registers patients within the practice management system. Completes full registration for new patients and eligibility verification for all appointments/procedures. Resolves registration issues prior to patient appointment to ensure smooth check-in.

  • Provides front desk, check-in/out coverage as needed. Greet patients, collects/confirms demographic information, documents visit details, collects & distributes registration information and notifies clinical team when patients are ready to see physician

  • Assists clinicians in properly coding patient appointment types. Collects co-pays, checks out patient and schedules follow-up care. Addresses post care issues such as insurance coverage, billing, etc. Performs reconciliation of end of day POS payments.

  • Answers and screens phone calls and updates patient information as required. Provides phone coverage for busy practice.

  • Scans patient documents in the EPIC system on a timely basis. Ensures all patient files are updated within the system.

  • Provides billing and collection services to all assigned clinicians. Inputs charges and applies payments.

  • Researches and performs collection follow-ups on patient accounts; including following up with patients and clinicians.

  • Reviews regular reports for account maintenance (i.e. rejection reports, edit reports, missing charges, etc.) with appropriate follow/up.

  • Meets with physicians to arrange and implement collection plans as needed, including review of account receivables.

  • Identifies areas of improvement for the front desk and office flow.

  • Assists in the training of new staff members on the practice’s standard of operations and policies regarding patient care and billing related activities.

  • Assists in maintaining waiting areas in a neat and tidy condition

  • Educates patients about the patient portal and encourages patient participation.

  • Coordinates calendars and schedules appointments and meetings. Prioritizes requests for meetings and coordinates the necessary arrangements for meetings.

  • Responsible for travel and conference arrangements. Organizes itinerary, makes appropriate reservations for travel and accommodations.

  • Prepares and processes travel reimbursements.

  • Responsible for disbursement/reimbursement activities as needed.

Education

  • High School Diploma

Experience

  • Bachelor's degree preferred.

  • Approximately 3 years of related experience providing secretarial support to senior leadership.

  • Some medical billing office experience is preferred.

  • Experience with computerized billing systems and third party reimbursement desired.

  • Word processing skills required.

  • Knowledge of medical terminology preferred.

Knowledge, Skills and Abilities

  • Demonstrated proficiency with MS Office Suite and database applications.

  • Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".

  • Demonstrated organizational skills and ability to pay close attention to detail.
