The Ph.D. Program in History at the Graduate Center, CUNY, is a major center for research and graduate training in a wide array of fields of historical inquiry, ranging from ancient to contemporary times and covering Europe, the Americas, and the Middle East. The program stresses training in primary research and encourages interdisciplinary study. The distinguished faculty, consisting of more than 70 respected historians, works closely with the approximately 100 students throughout their studies.
Reporting to the Executive Officer, and working with the Deputy Executive Officer, the Assistant Program Officer is the vital fulcrum of the Ph.D. Program in History.
Duties include but are not limited to:
Maintains the PhD Program in History websites;
Assists in scheduling the Program's courses, committee meetings, and examinations
Organizes the proctoring of exams and sometimes proctors exams as needed; Informs students of test results as requested by EO;
Assists students with filing forms with various offices: financial aid, international students, registrar, etc.;
Maintains a record of all students’ exam milestones, general progress, contact information, financial aid awards;
Prepares reports as needed by the EO;
Responsible for correspondence with students and faculty on behalf of the EO and DEOs as needed;
Supports the EO’s and DEO’s work with admissions and registration, budget allocations, correspondence, records and files, committee meetings, colloquia, and special events;
Manages office records including faculty, student and alumni files; collects and maintains statistical data on program activities; maintains and updates student, faculty and alumni records on database; maintains and updates email lists for faculty, students, and alumni;
Assists in recruiting, hiring, supervising, and evaluating activities of part-time staff such as college assistants and student assistants assigned to the program office;
Orders equipment and supplies and ensures office machines and equipment are in working order, contacts IT if servicing is needed.
Collects and compiles information about students, faculty and alumni achievements; prepares and supervises publicity for events;
Maintains website record of all current and past course descriptions, syllabi and other program documents;
Arranges rooms for classes, meetings, seminars and special events as needed and informs the various parties as to time and location;
Prepares payments for vendor services and tracks program fund balances;
Advises applicants regarding general program requirements and refers them to appropriate faculty for further advisement and evaluation;
Maintains a current record of students available for teaching internships, GTF's, tutoring, and research positions; informs students of opportunities for these as they arise.
Collaborates with the EO on authoring annual assessment reports for the Office of Institutional Effectiveness and the Provost.
Acts as liaison to campus student affairs and support services, such as Career Planning and Professional Development, Wellness Center, Teaching & Learning Center, Registrar, Bursar, Financial Aid, Admissions and the International Students Office.
Curates extensive alumni database.
Facilitates peer-mentoring programs.
Assists the EO in reviewing course budget to ensure compliance with Provost limits.
Performs other duties as assigned which are reasonably within the scope of this job classification.
This position requires the incumbent to work in person.
QUALIFICATIONS
Bachelor's Degree required.
Preferred Qualifications:
Master’s degree in higher education administration or related field.
Experience working in a higher education institution in a large program.
Extensive project management experience.
Supervisory experience.
A proven commitment to public education.
Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.

Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration
Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities
Serves as liaison to various College offices to provide service delivery and appropriate referrals to students
Collects and reviews syllabi to ensure compliance with standards
Serves as resource person for students and faculty regarding program policies and procedures
May supervise office operations and/or monitor department budget
Performs related duties as assigned.

COMPENSATION AND BENEFITS
$68,245 - $77,430. Salary commensurate with education and experience.
