Position Summary
Working as part of the Lateral Partner Recruiting team, reporting to the Director of Lateral Partner Recruiting, the role holder has responsibility for providing administrative support to all aspects of the Firm's lateral partner recruiting processes (primarily support to team members in New York, D.C. and London).
Candidates for this role should have a strong administrative background including highly-developed organizational skills. Experience of working directly in a legal partnership or professional services environment, is preferred. A secretarial background, again ideally in a legal environment, could also provide appropriate experience for this role. General IT literacy is an additional important requirement. The role would be well suited to an individual looking to gain experience of and build a career in lateral partner, or wider legal, recruiting.
This is a busy team with deadlines to meet that requires a calm and approachable attitude, as well as the confidence and maturity to deal with people at all levels, both within the Firm and externally. It is essential that a professional, helpful and friendly attitude is shown at all times.
Candidates for this role must be able and willing to deal with the administrative workload required, as well as demonstrating the necessary initiative and confidence to work under minimal supervision as needed.
This is a global role and the successful candidate will need to be able to demonstrate some flexibility with regard to working and responsiveness outside of core business hours for this reason. Working some hours on weekday evenings and weekends may be necessary at busy times.
Duties and Accountabilities1
- Global candidate support associated with the recruitment of lateral partners including: Coordination of meeting logistics, research and drafting of target lists, candidate tracking, interview scheduling, obtaining interviewer feedback, dossier and firm meeting preparation.
- Primarily responsible for management of integration review meetings including meeting schedules and tracking, distribution of materials, meeting minutes and status reports.
- Coordination of department invoices, candidate reimbursement and other team expense payments, as well as, annual budget assistance and tracking.
- Coordination of global tracking documents, analysis reports and data entry.
- General administrative support for lateral partner recruiting team.
- Supervisory Responsibilities
- Provide instruction/guidance to and supervise the work product of the supporting recruiting team based in the Firm's Shared Service Centre in Manila.
Essential Job Requirements
- Experience of professional services environment, ideally at a law firm.
- Excellent communication and interpersonal skills.
- Outstanding organizational skills and ability to multi-task.
- Strong experience of calendar management and scheduling (ideally across multiple time zones).
- Attention to detail and accuracy paramount.
- Availability and willingness to work overtime, if needed. Ability to work under pressure and meet deadlines.
- Team orientated with a willingness to roll up sleeves and help out whenever necessary.
- Ability to work under own initiative as required.
