Role Purpose

The Administrative Coordinator will provide administrative and personal support to the Senior Vice President, Music Business and Legal Affairs and broadly support the Music Business & Legal Affairs team with an emphasis in TV & Streaming. This position does not include any creative responsibilities with respect to consulting on music placement in productions.

Job Duties

Provide complete administrative support for the team, including but not limited to the following areas:

  • Assist with administrative tasks including, but not limited to: preparation of meeting materials, answering phones, filing, as well as photocopying and circulating correspondence and documents

  • Schedule meetings and appointments

  • Own cue sheet administration (e.g. training, creation, review, analysis, revision, submissions)

  • Research music for all details pertinent to clearance and tracking, including publishing, labels, and PROs

  • Process expense reports

  • Red-line various agreements related to music

  • Draft correspondence

  • Create and maintain detailed tracking, cost status reports and documents

  • Maintain and organize electronic and physical files; update systems (i.e.: DMS, ELF, SharePoint, etc.)

  • Assist with music clearance

  • Process payments, set up vendors and interact with the AP team

  • Interact positively with others, and maintain relationships both internally and externally

  • Arrange travel and all accommodations, including creating comprehensive and detailed itineraries as needed

  • Perform other related duties in support of the department, as requested by management

Basic Requirements

  • Minimum 4 years of administrative experience

  • Prior experience at a music or production company, or an entertainment law firm

  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook

  • Knowledge of music business/legal terminology

     This position has been designated as hybrid, generally contributing from the office a minimum of three days per week

This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
