Description

We are offering a short-term contract employment opportunity for an Administrative Assistant in the non-profit industry located in the Downtown area. This role primarily focuses on providing programmatic and student support, organizing data and class materials, and serving as a liaison between students and program staff.

Responsibilities:

• Assist in the organization and scheduling of appointments.

• Offer ongoing support during the training programs.

• Monitor the progress of students in training and relay feedback.

• Manage and monitor data entry, student files, and class materials.

• Function as the link between evening students and program staff.

• Handle the front desk phone and direct calls as necessary.

• Support in setting up classrooms.

• Engage in activities such as data entry, filing, and creating database reports.

• Assist in the processing of invoices and vendor management.

• Regularly track and maintain inventory of supplies and alert team when supplies are short for re-ordering.

• Conduct clerical duties such as filing, collating, and sorting mail/deliveries daily.

Requirements • Minimum of one year experience in an administrative or similar role in a non-profit setting

• Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook

• Experience with answering inbound and outbound calls, ensuring effective communication and customer service

• Ability to perform data entry tasks with attention to detail and accuracy

• Excellent written and verbal communication skills, including email correspondence

• Proven ability to manage and schedule appointments effectively

• Demonstrated customer service skills, with a focus on providing exceptional service to stakeholders

• Ability to work independently, manage time effectively, and meet deadlines

• High level of organizational skills and ability to manage multiple tasks and priorities.
