FirstService Residential Administrative Assistant in New York, New York

Job Overview:

As an Administrative Assistant, you will assist our Closing team with the preparation, tracking and signage of closing documents. The ideal candidate will have strong customer service, organization and multitasking skills.

Your Responsibilities:

  • Preparing stocks and leases for each approved co-op file.
  • Registering approved sales and title transfer files onto spreadsheet.
  • Verifying shares on accounting programs.
  • Preparing cover letters to board members.
  • Arranging for messenger to pick up/ drop off packages and overnight mailing.
  • Assisting with responding to phone calls/ emails daily.
  • Assisting with preparation of closing statements as needed.
  • Assisting with scanning closing statements and documents.
  • Assisting with filing of closed closing files.
  • Maintaining closing gift bags.

Qualifications & Skills:

  • Associates degree or higher required.
  • 0-1 year of office or administrative experience.
  • Customer service oriented.
  • Ability to work in a fast paced and stressful environment.
  • Experience with Microsoft Excel & Office preferred.
  • Posses personal and professional integrity.
  • Ability to work independently and be a team player.
  • Well-organized, efficient and has a good sense of priorities.
  • Strong analytical skills and detail oriented

Compensation:
