What You’ll Be Doing

CIBC Capital Markets provides a wide range of credit, capital markets, investment banking and research products and services to government, institutional, corporate, and retail clients in the US, Canada and other key markets around the world. The US Business Management group provides direct day-to-day support and coverage for CIBC’s US Capital Markets business. The group’s primary role is to assist in achieving the mandate to be a premier client-focused global bank. The Business Management group serves as the primary liaison between the Capital Markets business and their supporting infrastructure groups as well as their internal and external vendors, brokers and suppliers. US Business Management also strives to ensure a sound control environment and provides sound advice in support of business strategy.

How You’ll Succeed

This is a great opportunity for an experienced Administrative Assistant to work within CIBC’s US Capital Markets Business Management team and provide outstanding support to the Debt Capital Markets team. The successful candidate will be a self-starter, is amenable to an early work schedule, possesses excellent organizational, communication and basic mathematical skills with the ability to interact directly with all levels of management and client institutions.

Administrative Responsibilities include:

  • Responsiveness and accessibility to the business throughout the day; be proactive in response to information requests and promptly resolve any day-to-day service or business related issues.

  • Expense management and arrangement of travel for multiple Managing Directors

  • Coordination of business entertainment including client dinners, roadshows, due diligence meetings and industry events/conferences, in collaboration with the U.S. events team as required

  • Maintain mandates and pipeline report and client pitch summary tracker

  • Assist as needed with printing and binding of client presentation materials

  • Coordination of internal team meetings

  • Onboarding/Offboarding – Ensure new employees have all tools and information needed and ensure offboards are respectfully locked down and all assets returned

  • Coordinate with building management to manage the arrival of guests to the New York office

  • Orders and maintains supplies, and arranges for office equipment maintenance

  • Maintain Email Distribution Lists

Organization Responsibilities include:

  • Business Continuity milestones including Call Tree and other milestones

  • Records Management

  • Secure Workspace Reviews

  • Maintain Gift log for Compliance

Who You Are

  • Highly motivated, self-starter; able to work in a fast paced, results driven environment.

  • Minimum of 5 years’ experience in Administrative Assistant role.

  • Experience in calendar management.

  • Experience in managing general office procedures (e.g. scheduling, expenses, business travel bookings).

  • Excellent organizational skills with a good attention to detail.

  • Strong interpersonal, written, verbal, telephone etiquette, and presentation skills.

  • Ability to execute tasks under aggressive targets and effectively manage to changes in plan.

  • Working experience of Microsoft Outlook, Teams, Word, Excel, and PowerPoint.

  • Ability to manage multiple time sensitive tasks efficiently and accurately.

  • Tact and good judgment in confidential situations and proven experience interacting with senior management.

  • Desire to continuously evolve our thinking and ways to improve task efficiency within the office.

At CIBC, we offer a competitive total rewards package. This role has an expected salary range of USD$85,000 – 95,000 for the New York, NY market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which also may include a discretionary bonus component. Candidates hired to work in other locations will be subject to the pay range associated with that location. Additional total compensation and benefits details will be provided during the hiring process.
