The Elementary Secretary provides administrative and clerical support to the school office, facilitating smooth day-to-day operations. The role involves serving as the first point of contact for students, parents, and staff while maintaining professionalism, confidentiality, and efficiency in a dynamic school environment.

Essential Duties and Responsibilities:

Office Administration

  • Answer and direct phone calls, take messages, and respond to inquiries from parents, staff, and the community.
  • Maintain the principal's schedule, coordinate meetings, and prepare meeting materials.
  • Organize and manage school records, files, and databases.

Student Support

  • Assist with student attendance, including daily tracking, follow-up on absences, and reporting.
  • Handle student check-ins, early dismissals, and late arrivals.
  • Provide first aid and care for students as needed and contact parents in case of emergencies.

Clerical Duties

  • Prepare and distribute school communications, newsletters, and announcements.
  • Process incoming and outgoing mail and correspondence.
  • Manage supply inventory and place orders for office and classroom materials.

Event Coordination

  • Assist in the planning and coordination of school events, assemblies, and meetings.
  • Serve as a liaison between the school, parents, and external vendors for events.

Financial Support

  • Handle basic bookkeeping tasks, such as processing purchase orders, tracking expenses, and collecting payments for school activities.
  • Manage petty cash and ensure financial records are accurate and up-to-date.

Customer Service

Greet visitors and maintain a welcoming atmosphere in the office.

Ensure that all visitors adhere to school security protocols.
