Lead Medical Office Coordinator - Full Time- Days

Job Summary

The Medical Office Coordinator provides indirect patient care in the office setting. This role will coordinate phone calls, appointments, prescription authorizations, providers’ schedules, etc. and be an integral part of the patient’s care team. The Medical Office Coordinator maintains a vast knowledge of medical terminology, understands difference between clinical and non-clinical matters, and forwards all clinical matters to the appropriate clinical staff/provider. The medical Office Coordinator will fill in for clerical staff that are out to ensure continuous office operations and be responsible for call schedules.

Core Job Responsibilities

  • Research and assess patient issues, resolve when able and notify management of outcomes. If unable to resolve, present data and recommendations to management. Implement final recommendations.

  • Complete payroll submissions and approve employee time

  • Approve time off requests

  • Enters facility work orders and a assign priority

  • Finalizes the provider on-call schedules and issue scheduling data to appropriate parties

  • Covers safety calls when the manager unavailable

  • Orders office supplies

  • Chart Preparation-Ensuring documents and clinical testing is coordinated and completed prior to next appointment

  • Utilizes phone notes for all communication/documentation between self and patient

  • Answer phone calls referring to clinical staff when appropriate

  • Review schedule on daily basis identifying any problem areas to communicate to Office Manager

  • Obtains insurance prior authorization for all medications and testing

  • Order entry, i.e.: enter orders, medication referrals, clarify orders with providers

  • Retrieve records from all sources for follow up appointments

  • Faxing tests, records to providers/patients, signed orders

  • Form completion, obtaining provider signature, copying/mailing

  • Enter prescription refill requests, phone in/fax/mail prescriptions a directed by provider

  • Works referrals to ensure timeliness of appointment scheduled for testing, new consults etc

  • Manage provider schedules, canceling, rescheduling as needed

  • Cross training in other clerical positions, as applicable

  • Letters sent to patients regarding normal test results

  • Letters sent to insurance companies appealing denied services or medication

  • Facilitates provider to provider calls

  • Perform other duties as required

Education/Experience Requirements

REQUIRED:

  • High School Diploma or equivalent

  • 2-4 years of experience in a healthcare related setting

  • Demonstrated ability to prioritize work and communicate effectively

  • Strong computer skills

PREFERRED:

  • Experience with insurance company rules and regulations.

  • Medical Terminology
