Posting Summary
Rutgers, The State University of New Jersey is seeking a Sr Confidential Admin Assistant for the University Communications and Marketing department.Among the key duties of the position are the following:
  • Provides high-level confidential administrative support to the Vice President and the Department of UCM. Assist the Vice President in planning and executing major initiatives, and in providing communication and marketing support and counsel to the President, Senior Administrators, University Governing Boards, Chancellor-led Units, and other constituents.
  • Multi-tasks with changing priorities and demands while calmly and professionally demonstrating best practices in administrative support and office management.
  • Completes all work in a manner that is consistent with the mission, vision, values, and goals of the University and the Department.
  • Provides executive-level support to the Vice President in developing, implementing and monitoring success metrics for departmental goals, policies, programs and campaigns.
  • Prepares reports, bench-marking studies, and highly professional presentations for use by the Vice President.
  • Manages the Vice President's calendar, print and digital correspondence, travel, and day-to day office operations.
  • Manages agendas, logistics, and materials for department, university wide and external meetings.

Qualifications

Minimum Education and Experience
  • Bachelors' degree or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration.
  • Five (5) years of experience as an executive or administrative assistant.
Certifications/Licenses
  • A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.
Required Knowledge, Skills, and Abilities
  • Strong computer skills, problem solving skills, knowledge of professional office procedures and office management principals.
  • Strong verbal, interpersonal, writing, and proofreading skills with thorough attention to detail.
  • Ability to set priorities, multi-task and work with constant interruptions and competing priorities.
  • Must be professional and extremely accurate.
  • Must be resourceful and well organized with strong analytical abilities and communication skills. Must be results, people and service oriented.
  • Must work well independently, as a team member, or team leader.
  • Must be able to prioritize and manage multiple concurrent tasks.
  • Must exercise discretion in managing confidential and sensitive information.

Preferred Qualifications
  • Knowledge of the University, its organizational structure, policies, systems and procedures.
Equipment Utilized
  • Strong knowledge of desktop computers and relevant software, including Microsoft Word, Outlook, Excel, PowerPoint or other presentation software.
  • Must be proficient in Zoom, WebEx, and other meeting and Calendar management applications.
  • Must proficiently use various web browsers (Safari, Firefox, Chrome, Edge) to conduct online research.
  • Working knowledge of project management software.
  • Valid driver's license and willingness to use personal vehicle for work related purposes.
Physical Demands and Work Environment
  • Must be able to work effectively under pressure of deadlines and on multiple concurrent assignments.
