Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for the Undergraduate Academic Services within the School of Arts and Sciences. The Senior Administrative Assistant is a member of the specialized academic advising staff concerned with academic standing, warning, probation, suspension, dismissal, appeals, retention programming, and assessment for undergraduates at academic risk, as well as re-enrollment for students who left Rutgers in poor academic standing or were dismissed and would like to return. Reports to the Assistant Dean and Director of the Office for Academic Standing, Probation, Retention Programming, and Assessment (hereafter referred to as the "Office for Academic Standing").Among the key duties of this position are the following:
  • Provides confidential and personalized academic support to students at academic risk regarding academic standing, warning, probation, suspension, dismissal, reenrollment, and other academic matters. The issues presented by these students are academically complex and often involve concerns beyond the classroom. These are extremely delicate and emotionally charged situations that require the utmost discretion and sensitivity. Each student's situation is addressed individually, often in consultation with parents and concerned parties, and requires extreme attention to detail as well as concern for institutional standards and legislative mandates.
  • Handles the reenrollment of students who left Rutgers in poor academic standing or were dismissed and would like to return.
  • Provides advising support to the cohort of these students who have been granted reenrollment by Academic Amnesty and those on academic probation or warning.
  • Meets individually with students to assist with their scheduling and academic planning, to refer them in seeking resources to address non-academic issues, and to assists them in reaching and maintaining satisfactory academic standing.
  • Organizes and manages processes integral to the efficient running of the Office for Academic Standing, including the Warning Process, the Probation Process, the Dismissal Process, and the Academic Amnesty Process.
  • Resolves issues independently or by conferring with appropriate colleagues (both within and outside the Office of Advising and Academic Services), and to communicate effectively with students.
  • Manages, coordinates among the deans and other advisors, and participates in the academic reviews of the records of all 20,000 SAS undergraduates to determine which students should be placed on academic warning or probation and which should be suspended or dismissed.
  • Notifies students and providing appropriate advice regarding their status and the implications to their academic career.
  • Works with the SAS Faculty on Academic Standing, the faculty group who hear and decide on dismissal appeals.
  • Communicates with students regarding the appeals process.
  • Prepares the appeals packets; preparing written summaries of the arguments presented by the students for use by the Committee.
  • Serves as the intermediary between the student and the faculty committee; advocating on behalf of the student when necessary; informing the students regarding the Committee's final decision.
  • Prepares various reports, particularly analytical reports and assessments. Is the liaison with various University offices regarding matters related to students at risk.
  • Provides professional confidential assistance to the Director of the Office of Academic Standing, as well as the other deans in the office.
  • Researches issues as needed.
  • Provides a wide breadth of information and explanations to students, faculty, administration, and parents via in-person interactions at the counter, and telephone and electronic communications.
  • Participates in activities and events conducted by the Office of Academic Services, as well as SAS-wide and University-wide events, including graduation.

Qualifications

Minimum Education and Experience
  • A minimum of a bachelor's degree.
  • Two years' experience in an academic administrative setting.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent communication skills and the ability to prioritize multiple tasks and meet deadlines.
  • Must demonstrate knowledge and understanding of office administration, organization, coordination, and computer literacy.
Preferred Qualifications
  • Proficient in Microsoft Excel.
  • Prefers three years' experience in an academic administrative setting.
Equipment Utilized
  • Microsoft Office Suite, Degree Navigator, IMS, Perceptive Content, various spreadsheets and database used by the Office for Academic Standing.
