The School of Arts and Sciences (SAS) is the largest academic unit at Rutgers University and the center of the undergraduate experience on the Rutgers-New Brunswick campus and is comprised of 41 academic departments spanning the liberal arts.

Posting Summary
Rutgers, The State University of New Jersey, is seeking a Department Administrator for the Genetics Department within the School of Arts & Sciences.Among the key duties of this position are the following:
  • Provides organizational, administrative, planning and budget support to the faculty of the Department of Genetics.
  • Serves as departmental liaison and point of contact for students and faculty as well as persons and organizations outside the Department and University systems.
  • Exercises independent judgement and initiative.
  • Arranges and coordinates the design and logistics for meetings, seminars, and special events.
  • Provides assistance to faculty and staff, which includes preparation and distribution of correspondence, scheduling appointments, reserving conference rooms, and processing purchase orders and guest reimbursements.
  • Prioritizes work, resolves routine conflicts and issues, and prepares and implements administrative guidelines and procedures for unit.
  • Prepares, processes, and controls records, statistics, and reports, and performs fiscal support functions.
  • Completes other work consistent with the understanding of the mission, vision, role, and goals of the Department of Genetics.
  • Leads communication between faculty, staff, students, and other departments.
  • Carries out routine and non-routine tasks with regular review of work outputs by supervisor.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.

Qualifications

Minimum Education and Experience
  • Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation and/or report writing.
  • A minimum of two years relevant experience in an administrative function.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be able to work independently and multitask.
  • Demonstrated ability to maintain a professional and welcoming demeanor to all colleagues, students, visitors and guests.
  • Good communication skills and computer literacy, specifically including Microsoft Office Suite and Adobe Acrobat.
Preferred Qualifications
  • Understanding and application of University policies including, but not limited to, Recruitment, Onboarding and Classification System (ROCS), Human Capital Management (HCM), Procurement, Travel, Expense Reimbursement and other Rutgers systems.
