Vanderbilt University Operations Services and Solution Specialist in Nashville, Tennessee

The Operations Services and Solutions Specialist is a key role within the People, Culture and Belonging (PCB) Operations Optimization team at Vanderbilt University. This position supports the daily operations of a variety of programs developed for staff at Vanderbilt University. The role involves working closely with internal and external partners to support the execution of staff programs. The role will play a crucial role in coordinating and executing day-to-day administrative and operational activities for the Operations Optimization team and the programs they execute.

Duties and Responsibilities:

• Serve as backup to central People Solutions Desk, providing exceptional customer service to all visitors by promptly greeting them, understanding their needs, and connecting them with the appropriate resources or personnel.

• Provide guidance to PCB People Solutions Desk staff in times of need related to specific topics of concern. Such as i9 troubleshooting, navigating customer service challenges, resolving complex inquiries, etc.

• Manage the administrative logistics for the New Hire Orientation program (Vanderbilt Voyage), including:

o Coordinating room reservations, catering orders, and equipment setup to ensure a seamless onboarding experience for new hires.

o Maintaining the program schedule and communicating updates to relevant stakeholders.

o Overseeing the email inbox and responding to inquiries in a timely and professional manner.

o Providing administrative support as needed to facilitate a successful new hire orientation.

• Facilitation of PCB programs such as Vanderbilt Voyage (New Hire Orientation) on a routine basis.

•Partner closely with the Operations Optimization team to plan, staff, and execute ongoing staff programs and events on campus. Responsibilities include:

o Scheduling program dates, times, and locations to maximize attendance and participation.

o Recruiting and directing volunteers or additional staff support as needed.

o Organizing program materials, signage, and other logistics to create a positive experience for attendees.

o Gathering feedback and data to continually improve the programs offered and making recommendations on process improvement based on data and feedback collected.

• Provide oversight and day to day supervision of student workers or interns as needed.

• Establish and maintain positive working relationships with People, Culture and Belonging division as well as departments across campus.

• Provide professional and technical support in executing day-to-day program activities.

Supervisory Relationships:

This position does not have supervisory experience and reports to the Senior Director, Operations Optimization.

Qualifications

• Bachelor’s degree, or the equivalent, is required.

• Superior verbal and written communication skills are required.

• Ability to exercise good judgment in the handling of confidential information.

• Ability to use current computer technology, such as MS Windows, Excel, Word, PowerPoint, etc.

• The ideal candidate will be a highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude.

• Candidate must also have the capacity to perform in an intellectually rigorous and complex academic environment.

• The ability to apply sound judgment in all situations is required, as are excellent organizational skills with meticulous attention to detail.

• Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities are essential.
