JOB DESCRIPTION AND POSITION REQUIREMENTS: Penn State Mont Alto is seeking an highly motivated part-time Administrative Assistant to the Chancellor. This position supports the Chancellor's office. This position includes performing confidential and complex administrative support, scheduling/managing of calendars, budget/finance, data management, composing and editing correspondence and event support.
Duties: Provide administrative support to the Chancellor which includes calendar management and scheduling and coordinating meetings, conferences, and travel arrangements. Manage budget, prepare budget reports, approve expenditures, and prepare and process a variety of financial forms using SIMBA and SAPConcur. Act as a liaison between the Chancellor and faculty and staff including direct and dotted line reports to the Chancellor, students, and University leaders and offices. Serve on various university/campus committees as needed. Support and assist the Chancellor with strategic external community relationships. Serve as front face of the Chancellor's office. Coordinate events for selected special programs and visits of senior University officials and community leaders. Coordinate, plan and attend Chancellor's Council and Advisory Board meetings and transcribe minutes. Support board members with requests as needed. Prepare and proofread correspondence, reports, and forms. Answer/screen telephone calls and greet visitors. Assist the Chancellor with the strategic direction of the campus which may include data gathering and reporting, reports and presentations, and meetings and events. Operate and maintain a variety of office equipment. Receive, sort, and distribute mail and inventory and order office supplies for the Chancellor's office. Other duties as assigned.
