Reference #: GAFLUS202410770EXTERNALENUS What You Will Do: Gannett Fleming is seeking a Project Coordinator for our Chicago, IL or  Pittsburgh, PA (Monroeville,PA) office. You may also work remotely, if preferred. This person will be part of our Substation Engineering Project Management team. This Project Coordinator will assist in the initiating, planning, executing, monitoring, and control of projects to best accomplish the successful completion of all assigned projects.

What you'll do. . . Support Project Manager and the Functional Team Leads by tracking open project resource requests Evaluate and assist in monitoring and controlling the project schedule Assist the Project Manager and the Functional Team Leads with the preparation of cost proposals, change orders, and plans for client negotiations Support project status meetings and compile meeting minutes Communicate relevant information to all team members, such as changes in schedule dates, changes in project scope, updates to project stakeholders, etc. Update Project Execution Plan Produce State of Practice work following company standards on quality and loss prevention Assist the Project Manager with invoice reviews, collection of receivables and project profitability Prep project accrual and forecasting reports Utilize accounting and project management software to set-up and enter applicable data for projects Manage projects in financial and management applications including opening and closing projects, processing change orders, and processing client and vendor invoices Compile required documentation for all new and active projects including items listed in the Project Management and Quality Guidelines Review contract requirements for accepted overhead rates, contract fee types, invoicing procedures, insurance requirements, customer survey submission, and subcontractor information Project folders - prepare and maintain electronic and hard copy project folders, including contracts for contractors and suppliers Monitor job status reports and take appropriate action with department managers to ensure that projects are completed on schedule and within budget Financial data review - assist with monitoring and reviewing project financial data such as variance, revenue, budgets, WIP, and assisting the Project Manager with resolving issues Compile financial and schedule data for Lessons Learned project meeting at the end of a project as part of project closeout process Assist project teams with administrative functions ISO audit participationEducation | Experience: Minimum Qualifications You'll need to have. . . Associate's degree in Business Administration or related field 1 to 3 years of relevant project coordination or project management experience Proficiency in MS Office Suite Familiarity with project management software Other Skills/Traits: Must have excellent written and verbal communication skills Must be skilled in multitasking and work well under timelines Must be comfortable working with remote teams and utilizing technology to maximize things like asynchronous communication and collaboration Broad understanding of project management Even better if you have. . .
