Central Garden & Pet Company Accounts Receivable & Customer Service Administrative Assistant/Receptionist in Monroe Township, New Jersey
Description
The Administrative Assistant will be responsible for assisting both the Customer Service and Accounts Receivable Team on chargeback support and any ad hoc requests as necessary. This position will also be responsible for all reception duties required.
MEASURES OF SUCCESS:
- Serve as the primary point of contact with outside service providers, including vending companies, shipping vendors, and facility maintenance teams.
- Welcome on-site visitors, determine the nature of their business, and direct them to appropriate personnel while ensuring high standards of customer service.
- Maintain access control to the facility, including managing guest offices and issuing new and old employee badges, ensuring top-level security protocols.
- Manage multiple administrative tasks including filing, answering phone calls, responding to emails, and preparing necessary documents.
- Maintain and order shipping supplies (UPS, etc.) and general office supplies.
- Monitor and restock essential items in the employee lunchroom (coffee, tea, sugar, creamer, etc.).
- Provides support to Accounts Receivable or Customer Service personnel with data entry and document processing.
- Maintains incoming and outgoing mail.
- Assists Customer Service with all customer invoicing responsibilities for all business units such as emailing and mailing customer invoices and putting together invoice packages prior to filing.
- Pulls and emails invoice packages as needed to support Chargeback and Accounts Receivable Team.
- Assists department Manager/Supervisor with tracking deduction trends for customer deductions in Excel.
- File freight claims and follow up on open claims as needed.
- Partner with (FTL) Full Truck Load and (LTL) Less Than Truck Load carriers to obtain (POD) Proof of Deliveries.
- Scan and link in ERP Suspended Credit Packages to be posted.
- Partner with (AP) Accounts Payable to ensure all open Suspended Credits are closed prior to month end.
- Assist with end of month (EOM) reconciliation and supports the internal and external SOX financial audits as needed.
IDEAL CANDIDATE ATTRIBUTES:
- HS Diploma or GED equivalent and 3 years of responsible experience.
- Excellent written and verbal communication skills.
- Attention to detail and accuracy in all work.
- Ability to multitask and work at a fast pace.
- Working knowledge in MS Word, Excel, or similar computer software systems.
- Attendance at work and punctuality is an essential function of this position.
- Basic math skills.
- Ability to read and interpret documents such as invoices and department manuals.
- Ability to work in a constant state of alertness and safe manner.
