Overview

The Proposal Specialist is responsible for creating proposals to drive the Gaming business. They develop proposals for Gaming, Digital, and Sports Betting and ensure compliance with proposal procedures, timelines, and policies.

This is a hands-on, multi-skilled role where the successful applicant will be required to perform varying job functions. They will work directly with the sales teams to articulate and communicate the overall bid strategy and strategic messaging that should be incorporated into a winning response. They will guide cross-functional teams through the proposal process and be responsible for early planning, kick off, content development, reviews, editing/design, and publishing.

The Proposal Specialist is responsible for ensuring delivery of complete and compliant bid responses to the customer by the prescribed deadline and to provide support and management for post-submission activities or follow up by project.

Work Location

This position can work out of our offices in Moncton, Canada; Las Vegas, Nevada; Warsaw, Poland; or Belgrade, Serbia.

Responsibilities

• Lead the proposals process companywide, managing all stakeholders through the process.

• Provide a wide range of proposal-related activities, including proposal management from RFP decomposition to proposal writing activities to delivery.

• Analyze RFP requirements to define technical and management requirements.

• Oversee the preparation and submission of proposals in response to business opportunities.

• Organize complete proposal schedule for the initial submission, follow-on orals presentations, questions and answers discussions, amendments or change pages, modifications, and final proposal revisions.

• Manage the successful development of compliant, competitive, cogent, and compelling proposals through effective collaboration across teams that include internal staff, corporate partners, consultants, and supporting vendors.

• Apply experience and best practices in proposal team management to ensure the timely delivery of proposal submissions that are fully compliant with solicitation instructions.

• Build collaborative relationships with all stakeholders in the end-to-end proposal process.

• Lead and analyze RFI, RFQ, RFPs and other bid documents for requirements.

• Develop the proposal schedule, outline, compliance matrix, and proposal development plan.

• Work with the proposal team to determine author assignments and integrate win strategy, themes, and discriminators into proposals.

• Provide insight, leadership, and work guidance to authors on all proposal content.

• Take ownership of the quality of the proposal for colour reviews and final delivery by performing rigorous quality assurance checks on draft and final documents.

• Prepare and lead efficient proposal kickoff meetings and daily status calls, ensuring activities adhere to the proposal development plan.

• Conduct activities required to successfully perform colour reviews and debrief to authors.

• Manage the development of oral presentations, discussions, and proposal revisions.

• Ensure the high-quality content and appearance of final proposal deliverables.

• Conduct and document proposal lessons learned exercises and implement actions to improve process efficiency.

• Coordinate and support the production, reproduction, binding, and packaging in finalizing the proposal submission and response processes.

• Ensure accuracy and adequacy of final work product, including in-process and final reviews, editing for compliance with applicable standards, validation, and change verification, and ensures acceptable style layout.

• Ensure that there are no inconsistencies between cost and technical volumes. Develop/coordinate team reviews (as necessary) and prepare proposal team for the review and internal evaluation of the proposal.

• Ensure appropriate Team comments are incorporated in the final proposal.

• Implement best practices in proposal management. Continually seek to improve processes and new tools associated with proposal development inclusive of integration of new technologies.

• Support the Sr. Manager, Business Proposals as required.

• Detailed knowledge of industry best practices for proposal development, including knowledge of all phases of proposal development

Minimum Qualifications

• A thorough understanding of managing and writing proposals.

• Minimum 4 years proven successful experience managing proposal teams and leading them efficiently in a dynamic, fast-paced environment on moderate- to high-complexity opportunities.

• Excellent organizational skills.

• Experience with proposal writing and budgeting.

• Ability to travel as required to meet business objectives.

• Fluency in English.

Preferred Qualifications

• Bachelor’s degree in business or communications field or equivalent professional experience. In lieu of degree, years of experience will be considered (at least 6 years’ Proposal Management experience).

• In-depth knowledge of the gaming industry.

• Understanding and interest in technology and its role in process improvement.

• APMP membership. Certification is desired, or willingness to achieve it.

• Ability to use standard English writing styles to write proposal sections. This includes information research and synthesis from multiple sources (subject matter experts, previous proposals) into a cohesive, easy-to-read, and persuasive final product.

• High proficiency in the MS Office Suite (Outlook, Word, Excel, PowerPoint, Project), Adobe Acrobat, and SharePoint.

• Must have excellent written and verbal communication skills; an ability to take complex technical information and convert it into a summarization of key points.
