Africatown Heritage Preservation Foundation Executive Administrative Assistant in Mobile, Alabama

Objectives of this role Support the Executive Director and provide additional support to executive staff team members, as directed, to ensure that organizational goals and objectives are accomplished and that operations run efficiently; ,aintain and refine internal processes that enhance coordination of internal and external resources to expedite workflows; manage communication of the ED by lasing with internal and external actors on various projects and task as required; plan and orchestrate work to ensure that the ED and their senior executive teams' priorities are met, organizational goals are achieved, and best practices are upheld

Responsibilities Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics; coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives; manage senior executives' travel logistics and activities, including accommodations, transportation, and meals; provide hybrid administrative support such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database; maintain professionalism and strict confidentiality with all materials and information; organize team communications and plan events, both virtual and on-site.

Required knowledge, Skills and Qualifications Three or more years of experience in an administrative role directly to upper management; excellent written and verbal communication skills; strong time-management skills and an ability to organize and coordinate multiple concurrent projects; strong social media and public relations skills.

Qualifications: Bachelor's degree or equivalent 2-3 years previous experience in an office or virtual/hybrid work environment preferred

Reporting: This position reports directly to the Executive Director, Africatown Heritage Preservation Foundation,

Working Hours and Location This position is required to work a 40-hour work week, with flexible hours in remote locations and in an office space. Workdays are Monday-Friday normally 9am-5pm, however flexibility to work weekends and evenings is required. Travel (local, national, international) will be periodically required.
