Job Description
WHAT'S THE JOB?
Reporting to the Director of IT, this role will provide business process and operations support for IT in the areas of projects, invoicing, contract management, metric and KPI reporting and consolidated status reporting. The role will design and document day to day business operating procedures and work with other internal service providers to optimize efficiency. The position will provide support for the IT shared services leadership team.
The IT, Business Operations Analyst performs some or all the following duties:
Finances:
Assist with budget analysis of OPEX and CAPEX monthly spending reports for all of IT, provide variance explanations, and work with finance to make required adjustments.
Assist with budget and forecast preparation for all of IT.
Responsible for PO preparation, receiving and payment against IT budget.
Process (code and track) all IT invoices to proper payment and allocation.
Receive and analyze monthly project spend reports.
Communicate regularly with IT Managers and Project Managers regarding financial status.
Projects:
Gatekeeper of project approvals, budget, and timeline information.
Follow up with project manager to ensure all IT project documentation is processed and timely processed to ensure smooth execution.
Support PMs as required.
Work independently on projects assigned and provide status updates – as assigned.
Contracts:
Ensure contracts are properly signed and processed.
Process and track IT contracts, expiry of services, instigate renewals as required, and maintain filing system.
Ensure appropriate contracts are forwarded to legal and procurement departments for approval and storage.
IT Department:
Prepare and file monthly reports to required timelines (Executive Scorecard, contract expiry, strategic objective KPI’s)
Coordinate required paperwork for recruitment of employees and contractors.
Maintain IT org chart, headcount, and position control system.
Schedule and organize departmental activities.
Qualifications
WHO ARE WE LOOKING FOR?
Two years of post-secondary training or equivalent combination of education and experience
2 - 5 years of experience in a similar role
Good knowledge of IS terms and practices
Competent with word processing, spreadsheets, and presentation tools.
Excellent written and verbal communication skills.
Able to prepare cohesive reports based on notes provided by others.
Experience working independently and, in a team-oriented, collaborative environment.
Ability to adapt to shifting priorities, demands and timelines.
Positive, enthusiastic, and energetic.
Demonstrated ability to maintain confidentiality of sensitive information.
Ability to elicit cooperation from a wide variety of sources.
Demonstrates initiative in responding to situations where no direction is available or where no precedents exist.
Highly organized and efficient.
Ability to effectively prioritize and execute tasks in a high-pressure environment.
Demonstrated ability to develop processes and structures to manage information and workflows.
Excellent numeracy skills.
Good knowledge of budgeting and accounting terms and practices
Highly accurate and precise in completing assigned tasks.
Takes initiative in dealing with process or policy compliance issues.
Able to deal effectively with vendors.
