The position's roles are primarily tied to processes in the Ticket Office. The position works closely with the Ticket Office staff and staff connected to other revenue related processes. The position reports to the Athletics Business Office to maintain segregation of duties for control purposes and accounting oversight. Position responsibilities include: 75% Financial Reporting Performs all accounting functions for the Ticket Office. Provides financial reporting on all components of ticket sales revenue. Reconciles the ticketing system to the University's EFS system on a monthly basis or as needed to ensure financial accuracy. Balance daily Golden Gopher Fund donations and approve wire transfers from the University to the Foundation. Transfers funds to cover wires sent to the Foundation. Redistributes revenue from clearing account to appropriate revenue budget. Processes ticket sales sold to other Departments on campus (Internal Sales) via Peoplesoft. Paciolan - sets up daily batches for Seat Geek and E-Venue (online sales).Submits/closes daily settlements.Closes prior days' batches. Provides billing information to invoice Gopher Sports Properties for ticket purchases. Audits settlements related to visiting team and away/post-season game ticket purchases. Provide support for billing of facilities rentals including tracking deposits and credit card transfers. Processes monthly tax payments to the state.Assessing all revenue and validating sales tax amounts to be paid.Monitor ticket related revenue budgets and reconcile on a monthly, annual, and season basis to make sure balances are closed or carryforwards are accurate. Prepares ad hoc reports on request. Provide ticket and financial information for hosted conference & NCAA tournaments, any ticketed external events. Provide settlement reports on parking sales sold through ICA to Parking Services and transfer money. Reconciliation of internal parking sales for Events sold through ICA. Monthly review of credit card refunds. 10% Serves as the department's Merchant Account Manager Ensures PCI DSS Compliance: credit card processes are handled according to University and industry standards. Works with the Central Accounting to resolve issues that arise. Assist the University with the annual PCI DSS site visit. Due to the volume of transactions in the Ticket Office, position assists the University by providing information needed to complete annual PCI certification process (Pac online, phone bank, GGF auction, cellular) and resolve issues or gaps in processes. Monitors credit card machine use and trains on their operation. Keeps inventory of credit card devices, makes sure everyone fills out PCI attestation forms. Manage Incident reporting form process and ensure current and accurate contact info records. Sends annual Employee Non-Disclosure Form to all employees that handle credit card transactions, ensures completion. Completes Department Payment Card Manager Form process, including confirmation of confidentiality and security of cardholder data Coordinates annual PCI-DSS training for all employees that handle credit card transactions and ensures completion. Primary contact with Accertify to manage/minimize chargebacks and fraudulent purchases. Reviews and completes annual PCI-DSS SAQ questionnaire through Campus Guard. 5% Serves as the department's Cash Manager Processes deposits according to University cash handling policy & process. Sets up event and program change funds when needed and reconcile vault balance. Process check refunds. 5%Serves as the Ticket Office Liaison for inancial related processes. Includes Parking Services, Audits, Accounting Services, and the Foundation 5% Other Duties As Assigned: Short Term - As unique situations arise in the Athletic Department that in particular involve the Ticket Office, Business Office, or facility event or financial related duties, this position may be called upon to assist. Some seasonal variation in duties may occur based on fluctuations in time demands specific to this position and other operations occurring in the Department. These would not represent significant on going changes to the position. Long Term - As the processes and people change over time in the Ticket Office, Business Office, or other financially related positions within Athletics, a minor portion of the job description could change on an ongoing basis. Hourly rate for this position is $26.44 - $33.65 with potential for overtime. Qualifications Required: BA/BS plus at least 2 years of professional work experience OR a combination of related education and work experience to equal six years.
