The successful candidate will work within a diverse and inclusive environment to provide executive support to the CDD co-Directors and support our faculty/staff to solve complex problems within cutting-edge biomedical research and development. The position is responsible for a wide range of functions including operations, communications, administration, facilities management, student and faculty affairs, events and hospitality, and serving as a liaison in Human Resources (HR) to work with CoP HR. Principal Duties and Responsibilities: 50% Strategic and Operational Management Consult with and support the Center co-Directors on policy/program development and strategic planning. Create and archive key documents. Work closely with the Center co-Directors to manage Center faculty affairs and ensure compliance with the College and University policies: arrange faculty meetings, serve as the primary Office of Faculty Affairs administrative contact, managing annual performance reviews and promotions. Oversee the effectiveness of all CDD operational activities: gathering resources, creating standards, policies, and procedures to achieve strategic goals. Represent CDD at collegiate administrator meetings, committees, and task forces. Stay up to date on policy changes at all levels of responsibility. Maintain databases and create reports (i.e., Basic Sciences snapshot, REPA reports, etc.). Manage center space resources, manage TRIRIGA space database, costs, space assignments and facilities improvement initiatives and projects; maintain and process necessary documentation for equipment inventory; assist in acquiring, transferring and disposing of equipment. Manage hospitality. Schedule travels for visitors. Provide support for search committees and manage candidate visits. Coordinate the annual staff appreciation event and other special events. HR: Serve as a HR liaison to work with CoP HR to assist in new hire processes such as orientation and training. Assist HR with developing department processes to meet the needs of faculty researchers. Partner with collegiate HR on resolving complex HR issues. Oversee community outreach, public relations and social media. Manage internal communications. 50% Manage CDD Procurement Place and manage orders as requested by researchers. Manage Pcard reconciliation regarding charges made by department Prepare CDD leadership travel expense reports Supervision: None. Working Conditions: The majority of the work in this position is performed in a general office setting. Qualifications Required Qualifications: * BA/BS plus four years of related office and administrative experience or a combination of related education and work experience equaling eight years. * Proficiency in computer skills, including Microsoft Office (Word, Excel and PowerPoint), Google applications such as Gmail. Preferred Qualifications: * Previous experience working in an academic administrative setting. * Proven skills in management, communication, and organization. * Excellent oral and written communication skills (can create strategic documents with the guidelines from the co-Directors). * Ability to multi-task and prioritize (manage project and office responsibilities simultaneously, prioritize workload, follow-through, meet deadlines, and handle interruptions. Strong attention to detail. Effective organizational, time-management, and problem-solving skills). * Effective interpersonal communication skills.
