Job ID360210 LocationTwin Cities Job FamilyAdministration-General Full/Part TimeFull-Time Regular/TemporaryRegular Job Code8208A1 Employee ClassCivil Service About the Job Executive Assistant for The Raptor Center (Administrative Associate 1) The Executive Assistant provides a full range of administrative support to the Executive Director (ED) of The Raptor Center and to the Center itself. The activities of this position are expected to start initially with very core administrative functions and then grow over time to take on a greater strategic level of activities on behalf of the ED to include: assisting with the coordination of the ED's schedule and correspondence, serving as a point of contact for the ED, liaising with senior leaders of TRC, and others across the College of Veterinary Medicine, University of Minnesota Foundation, the greater University system and beyond, and providing administrative support for the advancement of strategic priorities as identified by the ED. This position is 40 hours per week; full-time. Primarily Monday-Friday, but could require occasional weekends or evenings for special events. This is a hybrid eligible position with the ability to work remotely 1-2 days a week, subject to the units' needs following the completion of the probationary period. Salary range: $48,000-$55,000, depending on experience Responsibilities: Executive Level Administrative Support for TRC's Executive Director (60%) Supports strategic initiatives as directed by the ED. Track implementation plans, help support team members as they coordinate work activities, track and monitor progress on activities as necessary Help to coordinate the ED's calendar, balancing competing priorities to ensure that the ED's time is used strategically Help to manage the ED's email account and google drive suite, including tracking written correspondence and follow up Acts as a representative on behalf of the ED and the TRC to internal and external agencies and partners Attend and provide administrative support to TRC leadership meetings Provide administrative support for TRC's Advisory Board, including coordinating on behalf of the ED with the board chair Assists with TRC budgets and financial reports for sponsored and non sponsored accounts Coordination and support for special events and programs of strategic importance to TRC General TRC Administrative Support (30%) Provide support to other administrative and front desk staff at TRC, such as interfacing with the public at the front desk, assisting with ordering and purchasing for the center, travel reimbursements, meeting logistics and minutes, internal staff communications, and assisting with special events Maintain and further develop TRC employee handbook and onboarding system for new employees. Take primary lead on administrative aspects of hiring, to include review of applications, may assign and direct the work of other TRC staff and support new employee onboarding process Other duties as assigned (10%) Qualifications All required qualifications must be documented on application materials Required Qualifications: BA/BS or a combination of related education and work experience to equal four years. Ability to manage and organize multiple initiatives at one time that are at different stages Demonstrated evidence of advanced skill in writing; for example, reports, policies, communications or planning documents. Excellent verbal communication skills with detail-oriented and strategic aptitude Demonstrated ability to solve complex problems and ability to work independently. Experience in, and an ongoing commitment to, a culture of diversity, equity and inclusion; working effectively with and across diverse communities: e.g. people of color, underrepresented groups; people with both visible and invisible disabilities; women; people of various gender and sexual identities and expressions; and first-generation students from economically disadvantaged backgrounds Preferred Qualifications: Ex erience working within university or academic settings, and/or the University of Minnesota Passion for wildlife, conservation, or environmental science About the Department Established in 1974 as part of the University of Minnesota College of Veterinary Medicine, The Raptor Center (TRC) is first and foremost a hospital for ill and injured raptors, caring for over 1,000 birds annually. As an internationally renowned veterinary teaching hospital, TRC trains students and professionals from around the world to become future leaders in raptor medicine and conservation and conducts multi-disciplinary ecosystem health research. In addition, TRC has a substantial education and outreach program to educate and inspire the public. Using raptor ambassador birds, TRC's education team uses innovative methods to reach over 150,000 people annually through a variety of programming at on and offsite venues and through virtual technology . All of this work is done with the assistance of a cohort of more than 300 volunteers.
