Amentum Administrative Assistant in Milton, Florida

Amentum is seeking an Office/ Payroll Administrator and Management Support . The OPAMS independently accomplishes general or routine office administrative tasks. The OPAMS sh ould have the expertise and qualifications to accomplish moderate to complex administrative and payroll tasks with minimal guidance and assistance. Depending on the customer office, some tasks can be more dynamic (i.e., less routine) and challenging than other tasks.

Responsibilities

  • Providing information and answering employee questions about payroll-related matters.

  • Managing electronic timekeeping systems and reviewing timesheets for 400+ employees.

  • Entering/ submitting direct deposit information for travel and reimbursements.

  • Process through the NMCI system all (CAC) Common Access Card applications.

  • Notification of termination of CAC account.

  • Plans, prepares, and coordinates all travel activities, and schedules and provides similar travel support information, for exempt and CBA employees.

  • Maintaining timecard, travel, and reimbursement records

  • Coordinating with the HR department to ensure correct employee data.

  • Providing administrative assistance to the accounting department.

  • Creating/Updating Internal Site management correspondence.

  • Support senior managers and executives with daily clerical tasks.

  • Plan meetings and take detailed minutes.

  • Answer phone calls, provide information, or connect callers to appropriate people.

  • Develop and maintain a filing system.

  • Create/update spreadsheets and presentations.

  • Provide statistical and budget reports.

  • Greet and provide general support to visitors.

  • Develop, implement, and improve office policies and procedures.

  • Proven work experience as a senior administrative assistant.

  • In-depth understanding of office management and daily operations

  • Hands-on experience with MS Office.

  • Working knowledge of office equipment, like printers and fax machines

  • Excellent verbal and written communication skills

  • Strong organizational and time-management skills

  • Strong analytical and organizational skills to oversee multiple work assignments.

  • Excellent writing skills.

  • Excellent communication, effective leadership, and interpersonal skills.

  • Knowledge of functions and operations of United States Military Commands preferred.

  • Analyzes and organizes office operations and procedures such as preparation of timesheets, personnel, information management, filing systems, requisition of supplies, and other clerical services.

  • Creates, maintains, updates, and reconciles spreadsheets to support reporting and analysis for Senior Executive Management approval.

  • Writes and maintains reports to update management of relevant information.

  • Experience using ERP management systems.

  • Experience & Education

  • Bachelor’s degree in an associated discipline. Two (2) to five (5) years of experience in a related field may be substituted for each year of the four (4) years of college.

  • Four (4) years of progressive experience in business occupations is required. Previous government services industry-related experience preferred.

  • Demonstrate proficiency in Microsoft applications (e.g., Excel, Word, PowerPoint).

  • Experience in using Costpoint, ERP, and Concur Travel systems preferred.

  • Knowledge of the following programs preferred:

  • Concur Travel & Expense

  • Expense Reporting Systems

  • Deltek Costpoint Timecard System

  • Microsoft Office

  • NMCI System.

  • PegNet Access

  • Proficient with MS Excel

  • Physical Requirements/ Working Environment

  • Normal Office Environment.

  • Able to lift up to 20 lbs.

  • Accommodate work schedule if required.

  • Able to pass and maintain a Common Access Card (Military background check)
