SUMMARY OF THE JOB :

As the Executive Assistant at Liberty Bank, this role involves providing high-level administrative support to the Chief Retail Banking Officer. The Executive Assistant plays a crucial role in ensuring the smooth operation of daily activities, managing complex schedules, coordinating meetings, and facilitating effective communication within the organization. Key responsibilities include preparing reports, handling confidential information, organizing travel arrangements, managing office systems, and assisting with project management tasks. The position requires exceptional organizational skills, the ability to prioritize tasks in a fast-paced environment, and strong interpersonal communication. The ideal candidate is proactive, detail-oriented, and thrives in a dynamic and collaborative environment.

This role contributes directly to the operational efficiency and success of Liberty Bank, supporting the bank’s leadership in maintaining strategic goals and fostering a positive work environment.

ESSENTIAL FUNCTIONS:

Project Management and Accuracy and Attention to Detail

  • Completes all projects, including creating presentations, as assigned

  • Manages multiple demands/projects simultaneously and prioritizes as appropriate ensuring all assignments are completed as requested, with 100% accuracy, and by the established deadlines

  • Partners productively with appropriate resources, anticipates issues or concerns, demonstrates proactive problem-solving abilities, and actively seeks viable solutions

    Budget Management

  • Reviews in detail every invoice, expense report, contract, etc. presented to ensure accuracy prior to seeking the CRBO’s approval

  • Demonstrates initiative to research items that are not clear or require further explanation

  • Reviews monthly budget reports to ensure Retail Banking is managing to the department’s assigned budgets. Raises any concerns immediately to the CBRO.

  • Takes a lead role in preparing the annual budget and fosters a strong partnership with the Finance Department

  • Recommends initiatives that will support the bank’s expense management focus

    Communication Skills & Technical Skills

  • Listens attentively and communicates both verbally and in written form in a clear, concise, and professional manner

  • Demonstrates strong proficiency in a variety of software applications including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Outlook, Liberty Bank’s intranet, Liberty Bank’s budget software and expense management software, and other bank software/programs

  • Keeps the CBRO abreast of all pertinent matters and maintains the highest level of confidentiality at all times

    Clerical Responsibilities

  • Manages daily clerical responsibilities including answering phone calls, promptly managing mail and email, scheduling meetings, creating reports and filing systems, printing documents, and organizing the department and logistics as needed

  • Establishes streamlined processes for maximum efficiency

  • Maintains an organized and neat work environment

    MINIMUM REQUIREMENTS:

  • Education:Associate or Bachelor’s degree in Business Administration or related field preferred, or equivalent work experience.

  • Experience:A minimum five years of experience supporting C-Level Executives in the banking industry is preferable.

  • Staff, board members, the executive and senior staff of the Bank, particularly the Office of the CEO, and external partners

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including Proven ability to handle confidential information with discretion.

  • Strong prioritization, time-management, and organizational skills with a keen attention to detail and accuracy. Consistently completes assignments and projects as directed with 100% accuracy and within established deadlines.

  • A self-starter and highly effective at working independently. Completes daily responsibilities and routine matters with little to no direction and oversight.

  • Anticipates issues or concerns and proactively seeks solutions and opportunities to be of assistance to the CBRO

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Strong emotional intelligence

  • Highly resourceful team-player, with the ability to also be extremely effective independently

  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms

  • Successfully manages multiple/competing demands and thrives in a high-paced environment

PHYSICAL REQUIREMENTS:

  • Ability to sit for long periods of time and lift up to 15 pounds

  • Ability to drive a car and possess daily access to a car

  • Keyboard dexterity
