Position Details

The Office of Academic Advancement, within the Office of Student Affairs, is responsible for a comprehensive program of academic advising and class management in the context of a residential liberal arts environment. This includes helping students develop educational goals and complete their graduation requirements; working with faculty to support student success in the classroom; facilitating access to academic and non-academic support services; and supporting student transitions from high school through the undergraduate years to life post-Wesleyan.

Reporting to the Dean for Academic Advancement, the Administrative Assistant IV provides front-line support for the Academic Advancement Office, including Student Academic Resources and Accessibility Services and works with students, faculty, staff, and parents.

Responsibilities include:

  • Undertakes annual projects and provides support and assistance for class management needs, including Academic Review, the petition process and University Major.

  • Coordinates comprehensive University Prizes process with academic departments and Student Affairs, overseeing approximately 245 prizes across the University.

  • Performs a variety of administrative and clerical services, including student correspondence and mailings, maintaining student files in Docfinity, organizing meetings, and managing office correspondence and procedures, including pre-major advisor reassignments.

  • Assists students, families and faculty with questions related to academic standing and University processes, including permission to transfer credits.

  • Prepares academic records for review as requested by students.

  • Coordinates and provides administrative support for the new student/transfer orientation and major open houses throughout the year.

  • Coordinates meetings and events, including room reservations, set up and ordering food.

  • Contributes to a team-based system of support for the Academic Advancement Office, and performs other duties as assigned.

This is an on-campus position.

This position is in the secretarial/clerical bargaining union. This position works 37.5 hours per week for 52 weeks for a total of 1950 hours.

Minimum Qualifications

  • Associate’s degree or four years related experience or an equivalent combination of education, training and work experience.

  • Experience in positions that provide exposure to a wide variety of secretarial and administrative activities.

  • Accounting and budget tracking experience.

  • Ability to set priorities, establish efficient procedures, multi-task, manage detailed work, and follow through with a minimum of supervision in a calm and effective manner.

  • Excellent communication skills.

  • Diplomacy, well-developed judgment, discretion, and sensitivity in dealing with a diverse range of people and confidential information.

  • Demonstrated knowledge of Microsoft Office 365 suite, including Word (including merging, creating, editing and formatting tables), Excel skills and Outlook skills (emails, calendars), Google documents, as well as OneDrive and SharePoint.

  • Ability and interest in learning new software programs.

  • Commitment to excellent student service and to teamwork.

  • Demonstrated ability to work within a diverse environment and interact openly with individuals of different backgrounds.

  • Experience in an academic environment.
