JOB SUMMARY: The Travel and Event Coordinator is to assist in the management and coordination of day-to-day travel and event related tasks across the organization. ESSENTIAL JOB DUTIES: Oversee the maintenance and updates of the company's travel portal or booking platform with travel company. Collaborate with the travel company and Marketing to ensure the travel website is user-friendly, up-to-date, and reflects current travel policies and options. Troubleshoot and resolve any issues related to the travel website in a timely manner. Work with Analytics and the travel company to prepare detailed reports on travel expenditures, identifying trends, areas of concern, and opportunities for cost-saving. Provide guidance to employees and management on travel policy adherence and best practices. Provide support to employees regarding travel arrangements, including booking flights, hotels, and transportation. Monitor and maintain company's list of 'approved' travelers. Draft memos, emails, Standard Operating Procedures (SOP's) or general communication regarding travel and event related items. Prepare post-event reports summarizing outcomes, expenses, and participant feedback for future reference. Assist in the budgeting, planning, and execution of company meetings and events, including sourcing venues, promotional items, organizing meals, controlling costs, and coordinating activities. Work closely with vendors and service providers to assist in arranging transportation, accommodations, catering, sponsorships, and entertainment for events. Gather feedback from event participants and stakeholders to assess the success of events and identify areas for improvement. Assist with the coordination of event supplies for branches, including tradeshow displays and printed collateral from vendors. Provide support to employees as they use the web store(s) for event-related orders and coordinate troubleshooting with 3rd parties. Other duties may be assigned. QUALIFICATIONS The qualifications listed below are representative o the elements required to perform the job successfully, however in some cases, an equivalent combination of Education, Training, Certifications and Experience may meet the job qualifications. Education, Training, Certifications: High school Diploma, or equivalent, required. Bachelor's Degree in Business Administration or similar, strongly preferred. Experience, Knowledge, Skill Requirements: Strong experience with office management. 1-2 years experience in event planning, coordination, and execution, strongly preferred. 1-2 years experience in managing or assisting with corporate travel programs, strongly preferred. Excellent project management skills and strong ability to prioritize. Communication Skills: Excellent verbal and written communication skills, with the ability collaborate cross-functionally. Must have the ability to effectively read, write, and communicate in English with employees and customers. Systems and Software Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.). Other Qualifications: Valid driver's license with acceptable driving record required. Must be able to comply with SFPH's Drug and Alcohol policy and Background screening requirements, which may also include customer specific requirements based on contractual agreement. Employee will occasionally be required to bend, kneel, balance, lift, walk, stand, ascend/descend stairs, drive, twist, and reach above and below shoulders. Work Environment: Employee will consistently be required to work indoors in an office setting, work alone and with others. Office settings are mild to moderate temperatures.
