The selected candidate will provide Executive Assistant support to two Vice Presidents: one being the Vice President, Integration and Operations for the MITRE Public Sector and the other being the Vice President, Intelligence and Cross-Cutting Capabilities in the MITRE National Security Sector. Primary focus of this position is the efficient and proactive execution of all operational and administrative functions of the office while maintaining the highest level of personal and professional standards and conduct. Preferred location for the position is Bedford, MA but location in McLean, VA will also be considered. The successful candidate should have demonstrated experience within the last two years of providing high level administrative support to leadership personnel of a large organization.

Key Functions:

  • In this dynamic, fast-moving role, your key responsibilities as mission partner to these VPs will include:

  • Managing their daily schedule which requires the ability to prioritize their requirements and demands.

  • Arranging for all travel in support of these VPs including preparing itineraries.

  • Learning the Corporate and VP’s goals to prioritize work effectively and efficiently as a strategic partner who can anticipate their requirements.

  • Engaging with senior officials and executives from government, commercial industry, and academia to understand requirements and secure appointment dates/times and coordinating all aspects of visits including preparing for and receiving executive-level visitors.

  • Planning, coordinating, and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc.

  • Maintaining security of all highly sensitive, confidential, and classified information.

  • Working in a collaborative atmosphere with the entire Executive Admin team, where vacations are coordinated and coverage secured as necessary, and that telephone coverage is provided for all officers during business hours.

  • Coordinating with Executive Admin team to support weekly Officer meetings including preparation of agenda topics gathering, delivering, and posting read-ahead materials; and identifying and posting action items to SharePoint site.

  • Coordinating with Executive Admin team to support weekly Sr. Leadership Staff meetings which includes the shared responsibilities of securing VTC rooms; preparation of agenda topics; gathering, delivering, and posting read-ahead materials; taking notes during meetings; and identifying and posting action items to SharePoint site.

  • Providing administrative guidance to Admin staff.

Required Qualifications:

  • The successful candidate must have demonstrated experience within the last two years of supporting a senior Officer or recent experience supporting equivalent executive level staff.

  • Ability to work collaboratively with others

  • Strong capability with Microsoft Outlook

  • Strong organization skills with attention to detail

  • Ability to work independently while interacting with MITRE and government professional staff.

  • Able to proactively assess situations and make decisions within broadly defined practices and procedures.

  • Competence in the latest mobile, desktop, and VTC technologies.

  • Bachelor’s Degree or equivalent

Preferred Qualifications:

  • Requires high level of poise, tact, and diplomacy in working closely, often under time pressure, with highly sensitive information, with a diverse group of executives, government officials, high-ranking military officers, customers, managers and support personnel.

  • Superior interpersonal, written, and verbal communication skills.

  • Experience with Microsoft PowerPoint and Excel

  • Ability to effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation

  • Independent decision making, accuracy and follow through on a broad range of administrative support tasks.

  • Secret level clearance preferred with ability to obtain a TS clearance
